Position Summary
The Event Manager is responsible for managing the end-to-end delivery of VEI's event portfolio across the APAC region, including conferences, gala dinners, roadshows, executive programs, incentives, and brand activations.
The role requires strong project management capability, confident client handling, and the ability to coordinate multiple events simultaneously.
The Event Manager will also support the Project Director in the delivery of VEI's large-scale and complex programs, ensuring smooth planning, coordination, and execution across all components.
Working closely with the Project Director and General Manager, the Event Manager contributes to event planning, logistics, production, creative coordination, stakeholder communication, and onsite delivery.
The position requires strong attention to detail, solid supplier and client coordination, and the ability to uphold VEI's premium delivery standards across multiple markets.
Key Responsibilities
1. Event Management (Australia & APAC)
Manage end-to-end planning and delivery of B2B events across the APAC region.




Support the Event Director in delivering large-scale and complex programs.
Develop and manage project plans, run sheets, timelines, resourcing plans, and operational workflows.
Coordinate logistics including venues, production, AV, catering, travel, accommodation, and event technology.
Manage budgets, track costs, and ensure accurate supplier quotations.
Source, evaluate, and manage suppliers, venues, and production partners across the region.
Ensure events are delivered on-brand, on-time, and to VEI's premium standards.
Work alongside coordinators, contractors, and onsite crew as required.
2. Client Management & Communications
Act as the day-to-day contact for allocated client portfolios.
Lead WIP meetings, prepare agendas, and manage action logs.
Build strong, professional relationships with client stakeholders across multiple markets.
Provide recommendations, resolve issues, and maintain a positive client experience throughout delivery.
Prepare briefing documents, recaps, and other client-facing communication.
3. Creative & Onsite Delivery
Coordinate creative elements including signage, branding, staging, theming, and production timelines.
Collaborate with designers and creative partners to ensure accurate execution.
Manage exhibitor and sponsor deliverables, ensuring timelines and requirements are met.
Lead onsite delivery including bump-in/bump-out, rehearsals, registration, speaker management, attendee flow, and production support.
Troubleshoot onsite issues promptly and professionally.
4. Regional Coordination Across APAC
Support multi-country event delivery across APAC markets.




Build and maintain relationships with regional venues, hotels, and suppliers.
Adapt VEI tools, templates, and processes for local market needs while maintaining brand integrity.
Understand regional operational considerations such as logistics, production norms, travel needs, and local requirements.
5. Project Administration
Maintain Monday.com boards, trackers, documentation, and event budgets.
Oversee POs, invoicing, and reconciliations.
Prepare event specification documentation, compliance documents, production schedules, and operating plans.
Contribute to post-event reporting, insights, and recommendations.
6. Team Collaboration
Work collaboratively with the Australian and Singapore teams to ensure seamless coordination across markets.
Contribute to internal documentation, knowledge hubs, templates, and process improvements.
Provide support and guidance to project coordinators when required.
Experience with the following platforms is highly regarded
Proficient using Mac (macOS) environment
Slack - internal and external communication and collaboration
Google Workspace (Docs, Sheets, Slides, Drive) - creating polished client presentations
Monday.com - Project Management & CRM Platform
Jomablue - Registration and event platform
AI Productivity Tools
