About the opportunity
Envirocare Systems provides commercial hygiene services to clients throughout the Perth metropolitan area. Our clients rely on us to complete their scheduled services consistently, communicate clearly and make dealing with us easy.
We are strengthening our administration team and have created a new Administration Officer position. This is an opportunity for an experienced administrator to take ownership of meaningful work across our service, sales and business-support functions.
You will be the first point of contact for many routine client enquiries and the person who makes sure important information is accurate, outstanding matters remain visible and agreed actions are followed through.
This is not an entry-level position or a role where you will simply wait to be given tasks. It will suit someone who enjoys bringing order to a busy environment, solving straightforward problems and becoming a dependable point of support for the people around them.
What you will be responsible for
Working closely with our Business & Operations Improvement Manager and Service Coordinator, you will take responsibility for:
Answering incoming calls and monitoring the company's general email accounts.
Responding to routine client enquiries, including questions about completed and upcoming services.
Reviewing daily service information and maintaining a visible pipeline of issues through to resolution.
Finding site and service information needed by our field service technicians.
Maintaining site access information, maps, inductions, client keys and technician qualification records.
Maintaining company and employee accounts in client and contractor portals such as Rapid Global, Evotix and Sine, including current insurance, safety and qualification documents.




Assigning approved site inspections and account management visits and monitoring their completion.
Preparing regular sales, enquiry and opportunity reports.
Creating accurate records for new enquiries, clients, sites, service work and equipment.
Helping ensure new work is properly established before it moves into scheduling and service delivery.
Supporting our transition to SharePoint and helping maintain it as a reliable source of business information.
Maintaining vehicle servicing schedules and related records.
Learning our service coordination processes sufficiently to provide coverage when the Service Coordinator is on leave.
The Service Coordinator will continue to own scheduling, technician allocation and day-to-day operational decisions. You will own the administration, information and follow-through that support those activities.
What we are looking for
You do not need to have worked in the hygiene services industry. We can teach you our business and systems.
We are looking for someone who already has strong administration fundamentals and can demonstrate that they:
Take ownership of work and follow it through to completion.
Communicate confidently and helpfully with clients and colleagues.
Organise competing priorities without losing track of important details.
Locate information and resolve routine matters independently.
Maintain accurate records, reminders and work pipelines.




Know when they have enough information to act and when a decision should be escalated.
Learn new systems, processes and client portals.
Remain calm, organised and dependable in a busy working workplace.
You will need broad administration or business-support experience, sound written and verbal communication skills and strong working knowledge of Microsoft Outlook, Word and Excel.
Experience with SharePoint, service-management software, service scheduling, contractor-management portals or sales reporting would be helpful but is not essential. Formal qualifications are less important to us than proven administrative capability, sound judgement and personal reliability.

Between 30 and 38 hours per week, with flexibility in how the hours are arranged for the right person.
A full-time equivalent salary of $70,000–$80,000 plus superannuation, depending on experience. The actual salary will be calculated according to the agreed hours.
