Keep the Corporate Office Moving.
We are seeking a highly organised, capable and adaptable Corporate Administration Officer to join our Brisbane corporate office.
This is a varied and trusted role providing high level administrative, executive and operational support across the business.
Working closely with senior executives, the Company Secretary and key internal and external stakeholders, you will help ensure the corporate office operates efficiently, information is accurately maintained and key business and reporting requirements are delivered on time.
The role offers exposure to Executive and Board administration, investor enquiries, ASX announcements, corporate reporting, document management and broader office operations.
It will suit someone who enjoys variety, takes ownership and can confidently manage competing priorities with discretion and attention to detail.
The Opportunity
This is a full-time Brisbane based position; however, we recognise that the strongest candidate may be seeking a degree of flexibility.
For the right person, we are open to discussing alternative working hours, such as school hours, supported by the ability to remain reasonably available by laptop for occasional urgent matters outside those hours.




You will become a central point of coordination within the corporate office, supporting smooth day to day operations while contributing to important governance, reporting and stakeholder activities.
You will be trusted to manage sensitive information, anticipate requirements and follow matters through to completion.
Responsibilities of the Role
Manage diaries, meetings and travel arrangements for key executives.
Manage incoming website and investor enquiries by monitoring, filtering, responding where appropriate and directing matters to the relevant department for action.
Monitor the corporate secretarial email account and ensure correspondence is appropriately actioned, filed or forwarded.
Maintain accurate and well organised corporate records, including contracts, tenement documentation and other key company information.
Support the Company Secretary with ASX lodgements and corporate reporting requirements, including the annual report, half year accounts and routine company announcements.
Coordinate updates to the Company website, particularly the Investor Centre and company announcements, ensuring information is published accurately and promptly.
Assist with the preparation, formatting and distribution of Board papers, executive reports, presentations and other corporate documents.
Assist with the collation and formatting of the annual report and other corporate publications, including sustainability reports and investor presentations, using platforms such as Canva.
Liaise with share registries and other external providers, coordinate meetings and assist with documentation for insurance renewals and claims.
Reconcile company credit card and fuel card reports each month, ensuring supporting records are complete and submitted for approval.
Manage Telstra accounts and work with the account manager to coordinate changes to the company account and services.
Maintain employee distribution groups and Mailchimp records.
Coordinate general office administration, including stationery, kitchen supplies and the presentation and functionality of shared office areas.




Provide meeting support to operations and corporate teams as required, including minute taking and maintaining action registers.
Provide responsive administrative support across the business, including assistance with job advertisements, legal administration and other ad hoc requirements.
About You
You are an experienced administrator who is dependable, professional and comfortable working with senior stakeholders.
You enjoy being the person who brings order to competing priorities, keeps information accurate and ensures important tasks do not fall through the gaps.
You will bring:
Demonstrated experience in corporate administration, executive support, office coordination or a comparable role.
A Certificate IV or Diploma in Business Administration, Office Administration or a related field is desirable, although relevant experience may be considered in place of formal qualifications.
Strong organisational and time management skills, with the ability to manage multiple priorities and meet deadlines.
High attention to detail and a disciplined approach to document control, filing, formatting and record keeping.
Strong written and verbal communication skills and confidence liaising with executives, Board members, investors, advisers and external service providers.
A high level of discretion and sound judgement when handling confidential and commercially sensitive information.
Strong capability across Microsoft Office applications, particularly Word, Excel, PowerPoint and Outlook.
Experience with Canva, Mailchimp, website content management systems or ASX related administration would be advantageous.
A proactive and flexible approach, with the confidence to take ownership, identify what is required and follow matters through.
