As an IP Assistant at GLMR you'll be at the centre of the action: monitoring deadlines, keeping our case management system sharp and accurate, communicating clearly with clients and foreign associates, and ensuring invoicing runs seamlessly.
This role is for someone who genuinely understands the lifecycle of patent and design matters and enjoys owning their portfolio. Given the remote nature of the position, you’ll bring several years of direct experience across the entire patent and design process, along with the confidence and discipline to work autonomously. You anticipate what's needed next and keep matters moving without missing a beat.

The role
At GLMR, you’re ready to step into a hands-on, high-trust role where precision, ownership and momentum matter, and where you play a critical part in keeping complex patent and design matters moving seamlessly. As an IP Assistant, you’ll be responsible for:
- Partnering closely with attorneys to prepare Patent Office documents, client and associate correspondence, and invoices and related materials with accuracy and efficiency
- Taking ownership of deadlines by proactively ensuring every deadline is tracked, anticipated, and proactively actioned
- Maintaining the integrity of our practice management system by accurately entering, updating, and safeguarding critical data and key dates
- Actively monitoring upcoming deadlines and confidently following-up with attorneys, clients, and stakeholders to ensure timely progress
- Reviewing and processing daily incoming and outgoing correspondence, identifying relevant actions and recording associated deadlines
- Preparing and filing patent and design documents via IP Australia and IPONZ online system with confidence and care
- Preparing prosecution-related correspondence and documentation within the required timeframes
- Liaising professionally and effectively with patent attorneys, foreign associates, clients, IP Australia, and IPONZ
- Managing billing functions associated with matters, ensuring accuracy and timeliness
You’ll be a trusted, relied upon, and genuinely valued as a key contributor to the smooth running of our practice.
What you'll bring
- Preferably five-plus years’ experience working as an IP Assistant with direct experience working with IP Australia, IPONZ, and IP management systems and databases
- Strong working knowledge of both local and foreign patent and design processes, from filing through to grant and beyond
- Excellent written and verbal English communication skills, with the confidence to correspond professionally with clients, foreign associates, and attorneys
- A strong work ethic paired with a genuine client-first mindset, with strong interpersonal and relationship-building skills
- Exceptional attention to detail and accuracy—you notice what others miss
- The ability to work autonomously in a remote setting, while contributing positively to a collaborative team environment
- Solid technical proficiency, including experience with Microsoft Word, Outlook, Excel, and related tools
