We are an established project management firm operating across the mining, energy and civil construction sectors in NSW. About the Role

We're seeking a Project Administrator to join our Newcastle team full-time, with a structured career pathway into Project Controls. You'll support projects across the mining, agriculture and energy sectors while developing practical project controls skills alongside experienced Project Managers and project teams.

This role combines project administration, business support and developing project controls responsibilities. You'll work closely with Project Managers and project teams to ensure project information is accurate, organised and available to support effective decision-making.

As your skills develop, you'll progressively take on more project controls responsibilities including cost tracking, forecasting, project reporting and performance monitoring.

The role is primarily office-based in Newcastle, with the opportunity to travel to project sites. Travel and living away from home attracts applicable allowances and overtime opportunities.

Key Responsibilities

- Project documentation and document control

- Raising purchase requisitions, processing invoices and cost tracking

- Supporting project managers and senior project personnel with ad hoc tasks

- Management of project change, including the preparation of forms, registers and coordinating approvals by approved delegates





- Collaboration with project personnel to track purchase orders and invoices against baseline plans

- Data analysis and reporting in conjunction with project managers. This will include dashboards and reports as required by the client

- General business administration support

About You

This role is ideal for someone looking to build a long-term career in project controls and project delivery. You'll have a structured development pathway supported by mentoring, training and hands-on project experience.

You will ideally have:

- Experience in Project or Business Administration

- Proficiency in Microsoft 365 suite with strong Excel skills

- Strong organisational skills with high attention to detail

- Confident communicator who can engage effectively with stakeholders at all levels to gather and clarify information

- A proactive attitude and desire for career progression

- Willingness to travel as required

Highly regarded:

- Prior experience in project controls

- SAP, Pronto or similar ERP experience

- Exposure to construction, mining or industrial environments
