Norwood Psychology is a modern, private psychology practice on Osmond Tce. We’ve built a great workplace that feels like family. In my eyes, if we put good people together, treat them well, create a good sense of purpose and have a bit of fun in the process, we’ll all be better for it.
We’ve grown a lot this year and things are starting to get busy, so we're looking for some help. This role would involve supporting receptionists so that they can focus on clients coming through the door, supporting myself in running the practice and occasionally covering reception shifts. In return you get to join a great team, receive healthy bi-annual bonuses and opportunities for growth as the business does.
The role itself will include admin support such as managing emails, developing and improving back end systems, contacting GP clinics and clients, it will involve making coffees, teas, etc... for our clients and lastly supporting me around all tasks running the practice. This role will require someone who is flexible and adaptive as needed, there will be quiet moments and also some very busy ones, you will have to be okay working independently/on your own, but also gave great people skills for when you're at the desk or working with the team.
Shifts will be 3-4h per morning, roughly 9am - 12pm. It will start off at 2-days per week, with the goal to build it up to 4-5 days per week around October onwards. Totaling around 12-15h per week and always finished by 12:30pm.
You must be available to work these hours at least Tuesday-Friday.
About the Role
This role is the heartbeat of the practice. You’ll be behind the scenes making sure everything runs smoothly, reviewing processes, helping staff feel supported and clients feel looked after.
Your responsibilities will include:
- Supporting admin as required; managing emails, reviewing processes in the back-end, solving any issues, and preparing drinks for clients.
- Supporting psychologists so they can focus on therapy - organising resources, smooth systems, etc.
- Working as a receptionist at times; welcoming clients, handling Medicare claims, payments, and client notes through our systems.
- Keeping the practice running smoothly day-to-day
- Maintaining a tidy, calm reception space that feels good to walk into
This role is ideal for someone who loves solving problems, is flexible/adaptive, is personable, and able to balance friendliness with professionalism.
About You
You’ll be a great fit if you’re someone who:
- Is naturally friendly, warm, approachable, and easy to talk to
- Can stay calm and grounded even when the day gets busy
- Has strong organisational skills and attention to detail
- Communicates clearly — in person, over the phone, and in writing
- Enjoys supporting people, not just processing tasks
- Can handle confidential information respectfully
- Brings maturity, reliability, and a steady presence
- Isn’t flustered by Medicare, invoicing, or learning new software
- Is okay working on their own, showing motivation and initiative, but enjoys being social and working with others
- Most importantly: isn't someone who says "that's not my job" - you'll be a jack of all trades here at NP
- A permanent Australian resident as recognised by the government and ATO
Experience in allied health, medical reception, or customer-facing roles is helpful, but we’re open to applications from anyone who has the right blend of people skills, professionalism, and initiative.
