About the Role

Position: Service Support Administrator

Hours: Monday–Friday | 9:00am–5:00pm

(Some flexibility required during school holiday periods — e.g. 8:00am–5:00pm)

Pay Rate: $38 per hour

This is not a role for someone looking for a quiet, predictable nine-to-five. This is a pivotal, high-responsibility position at the heart of our operations and the right person will love it for exactly that reason.

As our Support Service Administrator, you will work closely alongside the Operations Manager as a trusted right-hand, ensuring the smooth and productive running of our services across all locations. You will be the person who keeps things moving, catches what others miss, and brings calm, capable energy to a fast-paced environment.

What You Will Be Doing

- Acting as the primary administrative support to the Operations Manager and leadership team
- Supporting Area Managers and Coordinators with enrolments, bookings, rostering, timesheets, debt reporting, CCS and family communications




- Serving as the first point of contact for emails, phone calls, OWNA notifications and general enquiries managing these efficiently and professionally
- Maintaining and managing compliance documentation , staff records and medical documents to ensure everything is accurate, current and audit-ready at all times
- Running and preparing operational, compliance and administrative reports as requested
- Supporting marketing and communications including newsletters, flyers, family updates and website content
- Assisting with recruitment, onboarding and induction documentation
- Monitoring and maintaining service compliance systems in line with the National Quality Framework and Family Assistance Law
- Supporting continuous improvement initiatives including family surveys and process improvements
- Assisting with administrative and operational projects as delegated by the management team

Who We Are Looking For

We will be straightforward this role requires someone who is self-motivated, detail-driven and genuinely committed to doing excellent work. We have a lot happening across our organisation and we need someone who can keep up, step up and take ownership without needing to be micromanaged.

You are the right person if you:

- Have proven administration experience (minimum 2 years essential)
- Bring experience with Child Care Subsidy (CCS) and childcare or OSHC administration (highly regarded — training available for the right candidate)
- Are exceptionally organised with outstanding attention to detail




- Can manage competing priorities and large volumes of work without dropping the ball
- Communicate confidently and professionally in writing and in person
- Are proactive by nature you identify what needs to be done and you do it
- Handle confidential records and compliance documentation with discretion and accuracy
- Are confident using Microsoft Excel, Word, SharePoint and Teams
- Have a creative eye and interest in marketing and communications (highly valued)
- Hold a valid Employee WWCC (or are willing to obtain one)
- Have your own reliable transport
