Administration and Compliance Officer

As we continue to grow, we're looking for an organised and detail-driven Administration Officer to join our team.
About the Role
This is a key administrative role supporting critical areas of our daily operations, including participant compliance. You'll be the first point of contact for new employees joining our team, ensuring they're set up correctly and meet all regulatory requirements, while also maintaining accurate, audit-ready participant records in line with NDIS Practice Standards.
Key Responsibilities
General Administration
- Provide day-to-day administrative support to the operations and management team
- Data entry and record maintenance across internal systems
- Respond to queries from staff, participants, and families in a professional and timely manner
- Answer and direct phone calls, emails, and general enquiries
- Manage office supplies, equipment, and general office upkeep
- Prepare, format, and proofread correspondence, reports, and meeting documents
- Take minutes at meetings and distribute action items as required
- Maintain filing systems (electronic and physical) ensuring documents are organised and easily retrievable
- Assist with organising staff meetings, training sessions, and company events
- Undertake other ad hoc administrative duties as required by management
Staff Onboarding
- Coordinate end-to-end onboarding for new support workers and staff, including offer letters, contracts, and induction paperwork
- Verify and track mandatory compliance documents (NDIS Worker Screening Check, Working with Children Check, First Aid/CPR certificates, qualifications, right-to-work status)
- Maintain accurate staff records and compliance databases, flagging expiring documents ahead of renewal
- Coordinate mandatory training modules and induction sessions for new starters
- Liaise with HR, rostering, and management to ensure a smooth start for new employees
Participant Compliance
- Maintain up-to-date participant files, service agreements, and support plans in line with NDIS Practice Standards
- Monitor and track expiry dates for participant plans, risk assessments, and consent documentation
- Support internal and external audits by ensuring documentation is accurate, complete, and readily accessibleAssist in identifying and reporting compliance gaps or incidents in line with company policy
- Liaise with Support Coordinators, families, and participants to gather and update required documentation
About You
- Previous experience in an administration role, ideally within NDIS, disability, aged care, or community services
- Sound understanding of NDIS Practice Standards and compliance requirements (or a strong willingness to learn)
- Highly organised with excellent attention to detail
- Strong communication skills, both written and verbal
- Confident using Microsoft Office and database/CRM systems
- Ability to manage multiple priorities and meet deadlines
- A current NDIS Worker Screening Check (or willingness to obtain one)
- A National Police Check (or willingness to obtain one)
