We are a specialist, doctor-led ultrasound practice working exclusively in Obstetrics and Gynaecology, with clinics across Melbourne.
Our work is highly specialised and often delicate in nature. We support patients through important and, at times, complex moments in their care journey. Our team is professional, caring, and empathetic, with a strong focus on clinical excellence and patient-centred care.
The Opportunity
We are seeking an experienced healthcare professional to join our team on a casual basis between 2–4 days per week in a role that involves medical administrative and integrated clinical support.
This position is well suited to a nurse, midwife, or allied health professional seeking a challenging role that requires strong operational focus whilst utilising existing clinical knowledge and patient care skills in a supportive outpatient setting.
The role is suitable for healthcare professionals with more than 3 years clinical and administrative experience. We are looking for candidates who can complement a strong existing culture and provide consistently exceptional support to our loyal network of patients and referring doctors.
What the Role Involves
This role has a heavy administrative focus requiring strong attention to detail, efficiency, and patient communication, as well as hands-on clinical support.
Administrative Responsibilities
Managing patient bookings, confirmations, and schedule coordination
Handling phone enquiries, including clinical triage and sensitive conversations
Preparing and processing reports, correspondence, and patient documentation
Billing, receipting, and account management
Maintaining accurate electronic records and data entry
Liaising with referring doctors and external providers
Managing front-of-house presentation and daily clinic flow
Clinical Support Responsibilities
Preparing patients for ultrasound procedures
Providing post-procedure care and reassurance to patients
Handling and dispatching specimens in line with protocols
Maintaining clinical rooms and adhering to infection control standards
Full training will be provided for all procedure-based support.
About You
We are looking for a candidate who combines deep clinical experience with the interpersonal skills required to deliver exceptional outcomes for our patients.
You will ideally be someone who:
Has at least 3 years’ experience in medical reception, nursing, midwifery, or allied health.
Enjoys patient interaction in a structured, outpatient environment
Is confident handling clinical discussions with patients and referrers both over the phone and in person
Is highly organised and comfortable working in a rapid-paced environment
Shows high levels of empathy and compassion in sensitive situations
Values consistency and being part of a close-knit, professional team
Minimum 3+ years in a healthcare setting (clinical or medical administration)
Strong communication and organisational skills
Highly Regarded
Nursing or midwifery qualification
AHPRA registration (current or previous)
Experience in obstetrics, gynaecology, fertility, or ultrasound
Training & Location
Structured onboarding and training provided
Initially based primarily at our East Melbourne clinic, with occasional shifts across other sites
This role requires regular, ongoing availability
It is not suited to candidates undertaking student placements or irregular study commitments
