Our company is a national industry leader and is currently seeking a dynamic and enthusiastic person to join our team as a Payroll Assistant supporting our iconic retail stores.

This part time position will be based out of the Port Melbourne office 3-4 days per week as we believe face to face interaction results in faster outcomes!

The Payroll Assistant provides administrative and operational support to the Senior Payroll Officer by assisting in the accurate, timely, and compliant processing of payroll and related payroll administration activities.

The role also provides administrative support to the National Recruitment Manager, particularly in onboarding and employee data management, ensuring a smooth transition from recruitment through to payroll setup.

This role ensures payroll accuracy and compliance while delivering a seamless employee experience from recruitment through to employment lifecycle administration.

Key Responsibilities

Payroll Support

- Assist with the preparation and processing of fortnightly payroll, working closely with the Senior Payroll Officer
- Checking of Timesheet data prior to pay run processing
- Support the calculation of wages, overtime, entitlements and terminations
- Assist in maintaining up-to-date employee records, ensuring all employee records are accurate, compliant and up to date

Recruitment & Onboarding Support

- Provide support to the National Recruitment Manager by assisting with recruitment activities and coordinating hiring processes across the business
- Deliver administrative support throughout the onboarding lifecycle, ensuring all required documentation is completed accurately and within agreed timeframes

Compliance & Administration

- Ensure payroll data is entered in line with company policies and procedures
- Stay up to date with changes to award rates, allowances, and legislative requirements
- Assist with payroll reconciliations and reporting requirements and ensure compliance with Fair Work, tax,



and superannuation obligations are met

Employee Support

- Respond to general payroll enquiries, providing clear advice and solutions, or elevate where required
- Provide guidance on pays, leave balances and employment conditions
- Support new employees with the onboarding process (e.g. contracts, documentation, policies, Visa conditions, etc)
- Prepare employment contracts, variation letters & other relevant employments documentation for existing employees with changes to employment conditions (eg: promotions, salary increases, etc)
- Support offboarding processes including final pay coordination and documentation

Systems & Data Management

- Maintain payroll system accuracy and data integrity

Key Skills & Experience

- Experience in Payroll, Human Resources, recruitment administration, or a similar administrative role
- Previous payroll support experience working in a medium to large organisation
- Understanding of payroll processes and Australian employment conditions
- Experience with payroll or HR systems (e.g. Employment Hero, Deputy, ADP, Xero) is advantageous
- Experience with implementation and development of payroll systems
- Intermediate Excel skills and strong overall system capability

- Strong attention to detail and ability to manage high-volume tasks under tight deadlines
- Good communicator with the ability to handle employee inquiries and sensitive payroll information
- Ability to work collaboratively within a team and independently manage responsibilities
- High attention to detail and accuracy and strong organisational skills
