About the role

We are seeking a dedicated Medical Receptionist to join our friendly team in Parkville, VIC. This is a part-time maternity leave contract that plays an important role in ensuring our specialist medical practice operates smoothly and efficiently.

As our Medical Receptionist, you will be the first point of contact for patients, managing front desk operations, coordinating appointments and providing administrative support that contributes to delivering exceptional patient care in a warm and welcoming healthcare environment.

Days of work: Monday,



Wednesday and Thursday (9am - 5pm)
Contract duration: September 2026 – January 2028

What you'll be doing

- Greeting patients and creating a professional, welcoming experience from the moment they arrive.

- Managing appointments, cancellations and rescheduling, answering telephone enquiries, and directing calls appropriately.

- Coordinating surgical bookings and liaising with hospitals, specialists and other healthcare providers.

- Assisting with patient billing enquiries and processing payments.

- Providing administrative support to the clinical team, including preparing patient correspondence, managing referrals, processing pathology and imaging results, data entry, filing and other general office duties.

- Maintaining accurate patient records while ensuring confidentiality and compliance with privacy legislation.

- Maintaining an organised and welcoming reception area and consulting rooms.

What we’re looking for

- Previous experience as a medical receptionist or in an administration role.

- Excellent written and verbal communication skills with a professional and friendly manner.

- Fluent English and conversational Mandarin Chinese (minimum requirement).

- Strong organisational and time management skills, with the ability to manage multiple tasks in a busy setting.

- High attention to detail and accuracy when managing patient records and administrative documentation.

- A strong commitment to patient confidentiality and privacy.

- A calm, empathetic and compassionate approach when supporting patients.

- Experience with practice management software, Genie/Gentu and general IT systems highly regarded.

- Knowledge of obstetric medical terminology and healthcare practices will be highly regarded.
