Tulip Care Network is seeking a part-time Rostering / Admin Coordinator to join our team in Vermont, VIC. This is a pivotal administrative role that ensures the smooth operation of our scheduling and administrative functions. As a Rostering / Admin Coordinator, you will be responsible for managing rosters, coordinating schedules, and providing essential administrative support to our organisation. This part‑time position offers flexibility whilst maintaining the critical organisational functions that keep our care services running efficiently.
What you’ll be doing
Develop, manage, and maintain accurate and compliant staff rosters to meet client care requirements, service agreements, and funding obligations.
Coordinate the allocation of care workers to clients, ensuring appropriate skills match, continuity of care, and client preferences where possible.
Manage daily operational changes including unplanned leave, shift cancellations, and urgent coverage requirements.
Ensure rosters comply with industrial awards, enterprise agreements, Fair Work requirements, and organisational policies.
Monitor and manage staff availability, leave, and attendance, escalating risks or gaps in coverage as required.
Work closely with operations, and clinical teams to support safe, timely, and high‑quality service delivery.
Maintain accurate records in rostering and care management systems, ensuring data integrity for payroll, compliance, and reporting.
Support cost‑effective rostering practices, balancing service quality, workforce utilisation, and budget constraints.
Communicate clearly and professionally with care workers regarding shifts, changes, and expectations.
Assist with onboarding support by coordinating initial rosters for new staff and ensuring system readiness.
Contribute to continuous improvement initiatives by identifying rostering inefficiencies, trends, and risks.
Respond professionally to staff and client queries related to scheduling and service delivery.
Support audit, compliance, and reporting requirements by providing accurate rostering data when required.
Participate in weekend or after‑hours on‑call rostering support.
Assist with workforce planning and demand forecasting.
Support service expansion or transitional rostering during growth.
What we’re looking for
Qualifications
Certificate IV or Diploma in Aged Care, Community Services, Business Administration, Health Administration, or a related field (desirable).
Demonstrated understanding of Australian aged care regulations and funding models (SAH and/or CHSP).
Current National Police Check and relevant employment checks.
Working knowledge of industrial awards and Fair Work requirements (desirable).
Skills
Strong rostering, scheduling, and workforce coordination skills in a high‑volume, time‑critical environment.
Excellent organisation, time‑management, and attention to detail skills.
Clear and professional verbal and written communication skills.
Ability to manage competing priorities and respond effectively to unplanned changes.
Strong interpersonal skills with the ability to communicate effectively with care staff, managers, and clients.
Sound problem‑solving and decision‑making capability.
High level of digital literacy, including experience using rostering, care management, and payroll‑related systems.
Understanding of privacy, confidentiality, and data integrity requirements.
Ability to work collaboratively within a multidisciplinary team.
Experience
Previous experience in rostering, scheduling, workforce coordination, or administrative role within aged care, community services, disability, or health services.
Experience managing care worker rosters across dispersed or mobile workforces.
Demonstrated experience handling last‑minute roster changes, staff availability, and service continuity.
Experience working within an award‑based or regulated environment.
Experience supporting payroll accuracy through reliable rostering and attendance data.
Exposure to quality, compliance, or audit requirements in a care environment (desirable).
