About the role

We are looking for a committed Executive Assistant to provide essential support to the Chief Business Development Officer and the Business Development Leadership Team. This role is ideal for a seasoned professional who is adept at handling a variety of administrative responsibilities with a high degree of confidentiality and autonomy. The position entails significant engagement with external stakeholders and plays a vital role in fostering partnerships within the pharmaceutical industry.

What you’ll do

- Coordinate and manage the calendars of executives to ensure smooth daily operations in a fast-paced venture creation setting.
- Arrange both domestic and international travel plans, including managing expense reports and reimbursements efficiently.
- Take the initiative to schedule meetings, prepare detailed agendas, and manage communications for the department effectively.
- Act as the main point of contact for prospective external partners, ensuring that the organization is represented in a professional and inviting manner.
- Collaborate with other Executive Assistants and administrative personnel to align calendars, handle requests, and facilitate events, providing support as necessary.
- Oversee various projects aimed at improving collaboration within the department and advancing its strategic objectives.
- Carry out a variety of in-office administrative functions, such as welcoming visitors, organizing events,



and coordinating meal orders.
- Maintain a high level of organization and efficiency in all administrative tasks, ensuring that priorities are managed effectively.
- Support the Business Development Leadership Team in preparing presentations and reports, ensuring all materials are polished and professional.
- Assist in the development and implementation of office policies and procedures to enhance operational efficiency.
- Monitor and track project timelines and deliverables, ensuring that all deadlines are met.
- Foster a positive work environment by contributing to team morale and supporting team initiatives.

Requirements

- At least 7 to 10 years of experience providing administrative support to senior executives, preferably in a corporate environment.
- Demonstrated experience in managing external relationships or serving as a liaison between executive leadership and outside stakeholders.
- A strong commitment to availability, with the ability to respond to needs outside of standard working hours, including weekends when required.
- Capacity to excel in a high-pressure, fast-paced work environment.
- Outstanding organizational skills and meticulous attention to detail, with the ability to shift priorities effectively under tight deadlines.




- Excellent verbal and written communication skills, capable of engaging with various stakeholders through effective correspondence.
- Strong interpersonal skills with the ability to cultivate and maintain robust relationships.
- Qualified demeanor with a history of handling sensitive information with discretion and confidentiality.
- Strong problem-solving skills and resourcefulness, with a focus on follow-through and completion of tasks.
- A proactive work ethic and entrepreneurial mindset, capable of juggling multiple responsibilities simultaneously.
- Proficiency in Microsoft Word and PowerPoint, along with advanced organizational skills in Outlook.

Nice to have

- Experience within the biotechnology or pharmaceutical sectors is advantageous.
- Familiarity with project management tools or software can be beneficial.
- Previous experience in a startup or high-growth company environment is a plus.

Skills & tools

- Proficient in Microsoft Office Suite, including Word, PowerPoint, and Outlook.
- Familiarity with project management software and communication tools is a plus.

Practical notes

This position necessitates an onsite presence at least four days a week.
