ForestWorks is an industry owned not-for-profit organisation offering services to support the skills development of the forest, wood, paper, timber, furnishing and textile industries.
We work with businesses, government, industry associations, unions and the vocational education and training sector to assist our industries, their people, and enterprises in developing a highly skilled and qualified workforce.
Working in partnership with the Jobs and Skills Council (JSC), Skills Insight, ForestWorks provides industry stewardship, stakeholder engagement, workforce planning, research and project and product design and management services for the sectors we support.
We are seeking an Operations Coordinator to join our team, based in our Carlton VIC office. Reporting to the Project Manager, this position plays a critical role in supporting the effective delivery of Stakeholder Engagement and related project delivery activities, including coordinating stakeholder engagement logistics, maintaining accurate records and reporting systems, and supporting governance and compliance requirements.
What you’ll be doing
Coordinate logistics and provide administrative support across stakeholder engagement activities, including scheduling, meeting coordination, travel arrangements (where required), and stakeholder communications.
Maintain stakeholder registers, attendance records, action logs, and related documentation.
Assist with the distribution of project updates, invitations, surveys and other stakeholder communications.
Provide administrative support to industry reference groups, committees and working groups as required.
Coordinate the collection and compilation of project inputs, activity updates and supporting evidence to assist in the preparation and submission of quarterly progress reports within agreed timeframes.
Ensure stakeholder engagement records and supporting evidence are accurately captured and stored in ForestWorks and Skills Insight systems, including CRM platforms and other nominated tools.
Maintain version control and document management processes in accordance with organisational policies and contractual requirements.
Identify opportunities to improve administrative processes, reporting systems and record management practices.
Contribute to the development and maintenance of operational procedures and templates.
What we’re looking for
Min. 3 years’ experience in administration/operations coordination, project support or program support roles.
Experience working within workforce development, vocational education and training (VET), employment, industry engagement or not-for-profit sectors advantageous.
Experience in coordinating meetings, events, stakeholder activities or project logistics.
Experience in maintaining records, databases and administrative systems. Experience in using MS Dynamics and/or Monday.com advantageous.
Strong organisational and administrative skills with a high level of attention to detail.
Excellent time management skills and ability to manage competing priorities.
Strong written and verbal communication skills.
Ability to maintain accurate records and manage confidential information appropriately.
Proficiency in Microsoft Office applications, including Word, Excel, Outlook, PowerPoint and Teams.
Ability to work collaboratively with internal and external stakeholders.
Strong problem-solving skills and ability to work proactively.
