The Office Manager will oversee the day-to-day administrative and operational functions of a busy medical centre, ensuring efficient office systems and service delivery. Key responsibilities include coordinating administrative staff, managing rosters and leave, maintaining office policies and procedures, overseeing records, billing administration, procurement, suppliers and facility requirements. The role will also involve monitoring staff performance, supporting training and development, maintaining compliance documentation, and liaising with management, employees, contractors and external stakeholders. The Office Manager will contribute to operational planning, process improvements and the overall efficient and professional management of the organization.

Task & responsibilities

The typical job responsibilities will include, but are not limited to, the following:

- Manage daily administrative and operational functions across the busy medical centre.
- Coordinate patient flow, appointment systems and reception activities to support timely service delivery.




- Recruit, supervise and support reception, administration and nursing team members.
- Prepare staff rosters, manage leave requests and arrange contingency workforce coverage.
- Develop and maintain office policies, procedures, protocols and service standards.
- Coordinate accreditation activities and maintain supporting quality improvement and compliance documentation.
- Ensure compliance with privacy, workplace safety, infection control and healthcare regulations.
- Oversee Medicare, private, WorkCover, TAC and DVA billing administration processes.
- Maintain accurate office, financial, administrative and patient records using clinical software systems.
- Monitor staff performance, provide training and support ongoing professional development.
- Manage suppliers, contractors, facility maintenance and essential office service arrangements.
- Control procurement, medical supplies, office equipment and inventory levels within approved budgets.
- Liaise with doctors, nurses, directors and external stakeholders to resolve operational matters.
- Respond professionally to patient inquiries, feedback and complaints while protecting confidentiality.
- Support operational planning, community engagement and initiatives contributing to practice growth.

Qualification & experience





Applicants must meet the following minimum requirements to be considered for the role:

- Bachelor or higher relevant qualification in Business Administration preferred
- at least 1 year full time of comparable office management experience in same environment
- Demonstrated experience managing administrative operations within a medical centre, healthcare practice or similarly regulated service environment.
- Strong working knowledge of Medicare billing, private billing and third-party healthcare payment administration requirements.
- Proven ability to supervise multidisciplinary staff, coordinate rosters and support effective workplace performance and development.
- Sound knowledge of privacy, workplace safety, infection control, accreditation and Australian healthcare compliance obligations.
- Experience using clinical practice management software while maintaining accurate, secure and confidential patient and administrative records.
- Well-developed communication and problem-solving skills for managing patients, practitioners, suppliers, contractors and external stakeholders.
- Demonstrated ability to improve office systems, manage competing priorities and maintain efficient patient focused service delivery.
