Reporting to the SVP, APAC based in Melbourne, the Executive Assistant is responsible for providing a high level of administrative support in the areas of internal and external correspondence, communications, records and reports, travel, meetings, and appointments.
Key Responsibilities and Accountabilities:
- Assist in client liaison and management responsibilities
- Assist in event management planning and implementation
- Prepare correspondence, sales presentations, financial and other reports & documents, as required
- Pro-actively manage Expense Recording, Diary Management, Travel Management, Company Governance matters
- Liaise with colleagues in different business units and assist with corporate administration matters
- Follow-up of requests for information, action, and feedback on certain matters
- Maintain office procedures in a qualified manner
- Update Work in Progress Reports and CRM on weekly basis
- Manage and respond to (where appropriate) internal (including global)
requests for information.
Knowledge, Experience and Skills:
- 4-5 years prior experience in a similar corporate assistant role
- Advanced PC skills, specifically MS Office and Adobe Creative Suite, specifically Photoshop and InDesign
- Ability to honour confidentiality of information
- Effective communication skills, both verbal and written
- Excellent organisational skills, attention to details and time-management practices
- Ability to communicate professionally and effectively with company stakeholders, including but not limited to government organizations and corporate clients in a responsible manner
- Ability to take initiative and make decisions
- Ability to work under pressure, prioritise and multi-task
- Experience with AI tools and online database management is valuable but not essential.
