Full-time (100%), continuing position. Base salary will be in the range $85,451.97- $94,983.84 + 17% super (HEW Level 5). Based at our picturesque St Lucia Campus.
About This Opportunity
We are seeking a motivated and highly organised Executive Assistant to provide high-level executive and administrative support to the Director, Future Students and Admissions. Working within a collaborative, inclusive and purpose-driven team, you will play a pivotal role in ensuring the smooth operation of the Director’s office while contributing to UQ’s vision of creating change together. This is a fast-paced and rewarding opportunity to work across the Global Engagement Portfolio, partnering with colleagues, stakeholders and leaders to support effective communication, operational excellence and exceptional stakeholder experiences.
Key responsibilities will include:
- Managing the Director’s diary, correspondence, meetings, engagements and day-to-day priorities to ensure efficient operations and timely communication.
- Coordinating meetings, planning activities and stakeholder engagements, including agendas, papers, logistics, minutes and follow-up actions.
- Organising domestic and international travel arrangements, financial administration processes, expense reconciliations and procurement activities in line with University requirements.
- Providing high-quality administrative support across projects and operational activities, maintaining records, supporting HR processes and contributing to continuous improvement initiatives.

About You
- An undergraduate degree in a relevant area with subsequent relevant experience; or an equivalent combination of relevant experience and/or education and training.
- Demonstrated experience providing executive assistant or senior administrative support within a complex organisational environment.
- Proven experience coordinating domestic and international travel, including itineraries, logistics, documentation and responding effectively to changing circumstances.
- Strong organisational and time-management skills, with the ability to manage competing priorities, meet deadlines and maintain a high level of accuracy.
- Excellent written communication skills, with experience preparing correspondence, briefing materials, agendas, minutes, presentations and reports.
- Highly developed interpersonal skills and a strong service orientation, with the ability to build productive relationships with a diverse range of stakeholders.
- Demonstrated cultural capability and an appreciation of working in an international recruitment, student-facing or global engagement environment.
- Proficiency in Microsoft Office applications and the ability to quickly learn and use enterprise systems for finance, records, travel and administration.
- Knowledge of student recruitment, admissions, international education or student services within the higher education sector will be advantageous.
