We are looking for an experienced Administration Team Leader to lead our administration function and help drive operational excellence within our Collingwood Day Hospital.
About the opportunity
This is an exciting leadership opportunity for an experienced healthcare administration professional who enjoys leading teams, improving processes and delivering exceptional service standards.
Reporting to the Director of Nursing and working closely with the hospital leadership team, you will oversee the day-to-day administration operations of the hospital, including reception, medical records, billing, invoicing and patient administration services.
As a member of the management team, you will play an important role in supporting strategic initiatives, driving continuous improvement and ensuring the highest standards of administrative performance and patient service.
What you will be doing
- Lead, coach and support the administration team to deliver a high standard of service
- Manage staffing levels, rostering and workload allocation to meet operational requirements
- Provide training, mentoring and ongoing development for administration team members
- Conduct performance reviews and provide regular feedback and support
- Oversee reception, patient administration and medical records functions
- Ensure billing, invoicing and receipting processes are accurate, compliant and completed on time
- Manage health fund contracts and ensure billing requirements are understood and followed
- Monitor and maintain aged debtors performance and follow up outstanding accounts
- Conduct regular audits to ensure compliance, accuracy and quality standards are maintained
- Ensure daily, weekly, monthly and annual reporting obligations are completed accurately and on time
- Support accreditation, quality improvement and benchmarking activities
- Contribute to the development and implementation of administrative policies, procedures and systems
- Participate in strategic planning and operational improvement initiatives
- Provide administration and project support for business improvement activities as required
- Support front reception activities when required to ensure seamless patient service
What you will bring
You are a confident and capable leader who enjoys developing people, improving processes and creating high-performing teams.
- At least five years' experience across healthcare administration, hospital admissions or medical reception environments
- Demonstrated experience leading and developing administration teams
- Strong knowledge of medical administration,
billing and patient management processes
- Experience managing private hospital invoicing and health fund billing arrangements
- Well-developed organisational, planning and decision-making skills
- Excellent customer service and patient-focused communication skills
- Strong written and verbal communication skills
- High attention to detail and commitment to accuracy
- Advanced computer and systems literacy
- An understanding of quality improvement frameworks and accreditation requirements
- Knowledge of workplace health and safety obligations
- Experience with medical records management and compliance processes
The following experience will be highly regarded
- Exposure to ISO 9001 quality systems
- Knowledge of the National Safety and Quality Health Service (NSQHS) Standards
- Previous experience within a private hospital environment
