The Opportunity
Due to continued growth within our Brisbane office, we're excited to introduce a newly created Legal Secretary position to our Business Services team. The Role
As Legal Secretary, you'll be a trusted support partner to lawyers and the broader practice group, ensuring the smooth day‑to‑day operation of legal and administrative processes. This is a varied role that combines legal document preparation, client service, billing support and practice administration.
Key Responsibilities
- Drafting, formatting and amending legal documents, correspondence, affidavits, briefs and client communications.
- Managing document production through digital dictation and transcription.
- Coordinating calendars, appointments, meetings and travel arrangements as required.
- Maintaining accurate electronic and physical files, including document management, filing, scanning, printing and archiving.
- Opening new matters, conducting conflict checks and ensuring compliance with firm processes.
- Building strong relationships with clients, barristers, lawyers, partners and other stakeholders through professional and timely communication.
- Managing incoming calls,
handling enquiries and directing matters appropriately.
- Preparing invoices, assisting with billing processes and responding to client billing queries.
- Supporting monthly, quarterly and ad hoc reporting requirements for the practice group.
- Generating client correspondence, engagement documentation and audit-related communications.
- Conducting file reviews and audits to ensure compliance and accuracy of records.
- Monitoring emails and correspondence, ensuring matters are actioned efficiently and deadlines are met.
- Assisting with general practice administration and providing support across the team on various projects and ad hoc tasks.
Required Qualifications
- Previous experience in a Legal Secretary, Legal Assistant, Personal Assistant or similar professional services support role (ideally 2+ years).
- Exceptional organisational skills with the ability to manage competing priorities and deadlines.
- Strong attention to detail and a commitment to producing accurate, high-quality work.
- Excellent communication and interpersonal skills, with the confidence to build effective relationships at all levels.
- A proactive and adaptable approach, with the ability to anticipate needs and take initiative.
- Strong problem‑solving skills and a willingness to contribute wherever needed.
- The ability to work both independently and collaboratively within a team environment.
- Proficiency across Microsoft Office applications and confidence learning new systems.
- Experience with NetDocuments, Practice Evolve or similar legal practice management systems will be highly regarded but is not essential.
- All applicants must undergo background screening including reference checks and police checks.
