Cleveland House Specialist Centre ( is seeking a medical secretary/receptionist to join our sessional practice team on a part time / casual basis. You will be available from Monday - Friday for a 4 week rotational roster where you will be working 30 - 50 hours per fortnight, generally across 2 to 4 days. Importantly we are seeking someone with demonstrated experience and ability as set out below; who also has the capacity and ambition to step in to our second in charge role and be supported for training as successor to our Practice Manager. Our small team works cohesively and you will be happy to work autonomously and be responsible for all facets of reception / medical secretary duties, patient liaison and patient flow. Our practice is fast paced managing a diverse range of medical specialists - applicants must have demonstrated experience in a front reception, administrative or secretarial role in a medical or allied health setting. You will have experience with medical practice software systems, excellent IT trouble shootings skills and excel at patient liaison and patient flow management. You will have experience with Clinic2Cloud, Genie, Gen2 or Xestro and experience with surgical billing and management of surgical theatre lists. Most importantly, you will have excellent interpersonal and communication skills, be flexible in terms of availability, and be happy to contribute greatly to the management of our clinics, doctors,
and allied health professionals. We are seeking someone to join us immediately with availability required from Monday to Friday.
Key duties will include:
- Front of house reception;
- Set up & reset of patient clinics and consulting rooms;
- Patient flow and diary management;
- Patient and clinician liaison inc telephones, email and in person;
- Patient billing and receipting, inc HICAPS where relevant;
- Liasing with other medical practices, hospitals and providers on patient matters;
- Assisting with theatre and procedure bookings;
The Successful Candidate will have:
- Demonstrated experience in a similar role in a medical or allied health setting;
- Demonstrated experience in the provision of excellent patient liaison services in a medical or allied health setting;
- Demonstrated experience working as part of a multidisciplinary team in a medical or allied health setting where focus is best patient outcomes;
- Excellent interpersonal and communication skills, written and verbal;
- Demonstrated organisation and time management skills;
- Demonstrated experience with Medical Software programs, Clinic2Cloud preferred;
- Demonstrated capability with IT software and hardware;
- Personal qualities demonstrating enthusiasm, honesty, integrity, respectfulness, empathy, reliability and the ability to work autonomously.
