Executive Assistant to the Chief Executive Officer

FaciTech Pty Ltd is an innovative Australian technology company leading the development and commercialisation of next-generation AI-powered robotics solutions through our Robotics-as-a-Service (RaaS) platform.

As we continue our rapid growth across Australia and international markets, we are seeking an exceptional Executive Assistant to work directly alongside our Chief Executive Officer.

This is not a traditional Executive Assistant position. It is an opportunity to become a trusted business partner to the CEO, supporting strategic decision-making, corporate governance, commercial initiatives, investor engagement and international business expansion.

About the Role

Reporting directly to the CEO, you will provide high-level executive, commercial and governance support across all areas of the business.

You will work closely with executive leadership, Board members, investors, professional advisers and international business partners while ensuring the CEO can focus on driving growth and strategic priorities.

This position requires an experienced Executive Assistant who is proactive, commercially minded, highly organised and capable of operating confidently at Board and executive level.

Domestic and international travel is an essential requirement of this role, including travel to support executive meetings, conferences, strategic partnerships, trade exhibitions and business development activities.

Key Responsibilities

Executive Support

- Provide confidential executive support to the Chief Executive Officer.
- Manage a highly complex executive diary, appointments and competing priorities.
- Coordinate domestic and international travel, accommodation, visas and executive itineraries.
- Prepare executive correspondence, reports, briefing papers and meeting documentation.
- Monitor executive action items and strategic initiatives.
- Screen and prioritise communications on behalf of the CEO.
- Coordinate executive meetings and ensure follow-up actions are completed.
- Maintain the highest level of professionalism, confidentiality and discretion.

Corporate Governance

- Coordinate Board and Executive Leadership meetings.
- Prepare Board papers, agendas, governance reports and executive meeting packs.
- Record accurate Board and executive meeting minutes.
- Maintain governance documentation, Board records and action registers.
- Assist with corporate governance reporting and executive compliance requirements.
- Support executive planning sessions and strategic workshops.

Commercial & Strategic Support

Working directly with the CEO, you will actively contribute to the company's commercial growth and strategic initiatives by:

- Conducting market,



competitor and industry research.
- Researching emerging technologies, market opportunities and strategic partnerships.
- Gathering, analysing and collating commercial, financial and industry information from multiple sources.
- Preparing executive summaries, briefing papers and strategic reports.
- Assisting in the preparation of business plans, investor presentations and executive proposals.
- Coordinating and collating information required for Information Memorandums (IMs), investment proposals and corporate finance documentation.
- Working closely with external advisers, including Australia's leading accounting, legal and corporate advisory firms, during investment readiness and capital raising activities.
- Assisting with due diligence processes and strategic business initiatives.
- Supporting confidential commercial negotiations and executive projects.
- Coordinating multiple strategic projects while ensuring deadlines are achieved.

Executive Presentations

- Develop high-quality PowerPoint presentations for the CEO, Board and investors.
- Prepare executive dashboards, reports, and commercial presentations.
- Produce professional documentation suitable for Board meetings, investment discussions and strategic planning.
- Ensure all executive documentation reflects the highest professional standard.

Stakeholder Management

- Build strong relationships with Board members, investors, professional advisers and senior stakeholders.
- Liaise with domestic and international suppliers, manufacturers and commercial partners.
- Coordinate meetings across multiple time zones where required.
- Represent the Executive Office with professionalism and discretion.

Essential Skills & Experience

The successful applicant will possess:

- Extensive experience supporting a CEO, Managing Director, Executive Director, Board Chair, C-suite Executive or Executive Leadership Team.
- Demonstrated experience providing executive-level Board and corporate governance support.
- Proven experience preparing Board papers, governance documentation, executive reports and meeting minutes.
- Outstanding stakeholder management skills with the confidence to engage with senior executives, Board Directors, investors,



government representatives and external advisers.
- Exceptional organisational and time management skills with the ability to manage competing priorities and complex executive schedules.
- Strong commercial acumen and sound business judgement.
- Demonstrated experience conducting research, analysing information and preparing executive-level reports and recommendations.
- Experience gathering and coordinating information across multiple stakeholders for strategic business initiatives.
- Experience assisting with the preparation of Information Memorandums (IMs), business plans, investment proposals or other executive documentation will be highly regarded.
- Exceptional written and verbal communication skills.
- Advanced Microsoft Office 365 skills, particularly Outlook, Word, Excel and PowerPoint.
- Advanced PowerPoint and executive presentation skills , with the ability to produce polished Board and investor presentations.
- Ability to maintain absolute confidentiality and professionalism.
- Robust attention to detail and exceptional follow-through.
- Current Australian Driver Licence.
- Willingness to undertake domestic and international travel.

Highly Desirable

Experience in any of the following will be highly regarded:

- Corporate governance and Board administration.
- Executive Office or Chief of Staff environments.
- Investor relations, corporate finance or capital raising.
- Business strategy and organisational growth.
- Commercial project management.
- High-growth technology companies or scale-up businesses.
- Healthcare, aged care, professional services or manufacturing sectors.
- Working with external accounting, legal or corporate advisory firms.
- Experience liaising with international business partners.
- Mandarin language skills (advantageous but not essential).
