Hours: part-time 15.2 – 22.8 hours per week (0.4 -0.6 FTE)

The opportunity

As the Quality Systems & Policy Coordinator, you will lead the delivery of MTHC's enterprise policy, governance, and quality systems implementation program. This is a highly focused, role designed to deliver tangible organisational outcomes rather than ongoing operational support. Reporting to the Manager, Quality, Safety & Risk, you will collaborate with clinical and corporate subject matter experts to establish contemporary document management practices. By the end of your contract, you will have embedded modern governance systems and built the organisational capability required to support MTHC's long-term quality and safety maturity.

What you’ll do

- Develop, review, and standardise policies, procedures, and governance documentation.
- Implement and configure Prompt and Logiqc, including workflows and registers.
- Establish document control principles like version control and review schedules.
- Create user guides, standard operating procedures, and policy writing guidance.
- Deliver training and drive the adoption of document management practices.
- Manage project schedules, track milestones, and mitigate implementation risks.

What you’ll Bring

- Experience developing and coordinating policies, procedures, and governance documentation.
- Demonstrated experience in implementing document or quality management systems.
- Demonstrated experience in project coordination supporting organisational change or systems rollout.
- Excellent writing skills to translate legislation into practical documentation.
- High digital literacy, including Microsoft 365 and document management technologies.
- Strong stakeholder engagement skills to collaborate across multidisciplinary teams.
- High attention to detail and a commitment to document integrity.
- Experience in healthcare, university, or regulated environments.
- Experience using Prompt, Logiqc, or comparable systems.




- Understanding of NSQHS Standards and clinical governance.
- Experience developing governance frameworks or document control systems.
- Knowledge of accreditation, risk management, and quality improvement.

Melbourne Teaching Health Clinics (MTHC) is a not-for-profit, wholly owned subsidiary of the University of Melbourne and provides world-class clinical training opportunities for the Faculty of Medicine, Dentistry and Health Sciences students. It also provides patient access to high-quality health care for members of the Victorian community, within a private practice setting.
