The Opportunity
As our Service & Operations Coordinator , you'll be the central point between our technicians, customers and office.
You'll coordinate daily operations, ensure jobs run smoothly, communicate with clients and keep everything moving efficiently from booking through to completion.
You'll also work closely with the Managing Director to help improve the systems and processes that will support the next stage of our growth.
This role is ideal for someone who enjoys creating structure, improving efficiency and taking pride in keeping a busy business running smoothly.
Key Responsibilities
Your day-to-day responsibilities will include:
- Scheduling routine maintenance services and recurring inspections for technicians and subcontractors
- Managing service calls, repairs and defect works
- Liaising with technicians throughout the day
- Booking appointments and coordinating client access
- Preparing quotations, work orders and invoices
- Preparing Annual Fire Safety Statements (AFSS) and compliance documentation
- Maintaining accurate job information using UPTICK
- Ordering materials and raising purchase orders
- Coordinating supplier deliveries and subcontractor attendance
- Following up outstanding work orders and customer enquiries
- Ensuring service reports and documentation are completed accurately
- General administration and office coordination
- Identifying opportunities to improve workflows, systems and internal processes
About You
We're looking for someone who enjoys being organised and takes pride in getting things done properly.
You'll be confident communicating with clients and technicians,
comfortable working in a fast-paced environment and capable of managing multiple priorities without losing attention to detail.
Ideally you'll have:
- Previous experience as a Service Coordinator, Operations Coordinator or similar role
- Experience using UPTICK (highly regarded)
- Excellent organisational and time management skills
- Strong customer service and communication skills
- Experience preparing quotations and invoices
- High attention to detail
- Strong Microsoft Office skills
- The ability to prioritise competing tasks
- A positive attitude with a willingness to learn and improve
Experience within the fire protection, building services, HVAC, trades, or strata industries will be highly regarded, although not essential.
