About the Role
We're looking for an organised, confident and detail-oriented Accounts & Administration Assistant to support our Accounts Manager in the day-to-day financial and administrative operations of the business.
This is a varied role where no two days are the same. While you'll be responsible for processing our weekly payroll, the majority of your time will be spent supporting accounts payable, financial administration,
data entry and general office administration.
The ideal candidate is someone who enjoys bringing order to administration, naturally checks their own work and takes genuine pride in producing accurate, reliable results. You will be confident working independently, able to prioritise your workload and comfortable taking ownership of your responsibilities while recognising when to seek guidance where required.
Working closely with our Accounts Manager, you'll play an important role in ensuring our financial and administrative systems remain organised, accurate and up to date.
Key Responsibilities
- Process weekly payroll using MYOB AccountRight.
- Collate, review and verify employee timesheets.
- Maintain employee leave records and reporting (LeavePlus experience is advantageous).
- Process supplier invoices and accounts payable.
- Reconcile supplier statements and investigate discrepancies.
- Verify GST treatment, including GST-free items.
- Maintain purchase orders and update job records.
- Support month-end reconciliations and client invoicing.
- Monitor supplier payment terms to ensure invoices are paid within agreed trading terms.
- Data entry and maintenance of financial records.
- Reception and general office administration.
- Maintain accurate filing and document control.
- Maintain supplier files in alphabetical and chronological order to support efficient reconciliation and retrieval.
- Provide administrative support to the Accounts Manager and wider team.
- Contribute to the continuous improvement of administrative processes and office systems.
Essential Requirements
- Secure employment history demonstrating reliability and commitment.
- Minimum three years' recent experience in an accounts and administration role, including accounts payable and payroll responsibilities.
- Strong MYOB AccountRight experience.
- Excellent understanding of GST and supplier invoice processing.
- Experience reconciling supplier statements, invoices and purchase orders.
- Exceptional attention to detail with a commitment to accuracy.
- Ability to identify, investigate and resolve discrepancies before processing, demonstrating sound judgement and attention to detail.
- Demonstrated ability to work independently and confidently manage day-to-day responsibilities with minimal supervision.
- Ability to use initiative, exercise sound judgement and take ownership of allocated tasks.
- Strong data entry skills with a high level of accuracy.
- Ability to maintain strict confidentiality when handling payroll and financial information.
- Excellent organisational and time management skills with the ability to manage competing priorities and consistently meet deadlines.
- Strong written and verbal communication skills.
- Permanent Australian work rights.
Desirable
- Experience within manufacturing, engineering, construction or labour hire.
- Experience using LeavePlus.
- Experience working in a busy administration environment.
