We're looking for a Part Time Medical Administrator/Receptionist who will be the heartbeat of this new practice , creating a welcoming, psychologically safe space for patients, families, and clinicians alike.

This is a purpose‑driven role where organisation meets compassion, and where your work directly supports patients.

About the Role

Working alongside the Practice Coordinator, our Medical Administrator/Receptionist, you'll be the first friendly voice and reassuring presence patients encounter. You'll balance day‑to‑day clinic coordination with genuine human connection, ensuring every person feels heard, respected, and supported from their first contact through ongoing care.

Working closely with Neurologists, General Practitioners and an Audiologist, you'll help deliver seamless, patient‑centred services in a professional, empathetic and discreet way.

What You'll Be Doing

Patient Experience & Care Coordination

Be the first point of contact for patients, families, and carers, responding with warmth, empathy, and non‑judgment.

Create a welcoming environment for individuals experiencing distress or vulnerability.

Coordinate appointments, referrals, and follow‑ups to support continuity of care.

Communicate clearly and compassionately around fees, wait times, and appointment processes.

Practice Operations & Coordination

Coordinate daily clinic operations to ensure smooth patient flow and clinician support.





Manage clinician diaries, appointment scheduling, and room allocation.

Maintain accurate and confidential patient records in line with privacy legislation.

Liaise with the doctors and Audiologist to ensure the seamless running of the practice.

Action billing, Medicare and private health claims, and practice correspondence.

Clinical & Professional Support

Take care of non‑clinical tasks so clinicians can focus on patient care.

Recognise and escal…

Maintain strict confidentiality and qualified boundaries.

Contribute to a respectful, collaborative, and supportive workplace culture.

Quality, Safety & Improvement

Identify opportunities to enhance patient experience and clinic efficiency.

Assist with audits, accreditation, and continuous improvement activities.

About You

High emotional intelligence with a calm, empathetic communication style.

Medical administration experience

Strong organisational skills with excellent attention to detail.

Confidence handling sensitive and complex conversations.

Working knowledge of Medicare, private billing, and mental health care pathways.

Comfortable using practice management systems and digital health records

Qualifications & Experience

1 year + experience in healthcare administration.
