Robinson Gill is a multi-disciplinary law firm based in Box Hill that has provided expert legal advice for over 40 years. We have a collegiate team of approximately seventy five staff, with most senior lawyers holding Law Institute of Victoria Accredited Specialisations, and are looking for an experienced Senior Legal Assistant/Legal Assistant for our Wills & Property Team.

This role is ongoing, based in our Box Hill office. We are a proud mid-tier Melbourne law firm that supports our local community via sponsorships and partnerships with community legal centres/sporting clubs and charities, and that values our diverse team. We offer an extra day off per year, our Cultural Day, provide an EAP service, and are based in the heart of Box Hill next to the station and with parking directly under our office.

This is a hands-on role suited to someone who enjoys organisation, client contact and being a key part of a busy legal practice. Working closely with a Senior Associate on a day‑to‑day basis, you will assist with the management of matters from commencement through to completion, while also supporting the broader team as required.

We are looking for a proactive and reliable individual who takes pride in their work, enjoys building strong working relationships, and is committed to helping a practice operate efficiently.

The Role

This position is three days per week (to include Wednesday and Friday, together with one additional agreed day) and is based in our Box Hill office. We remain flexible for the right candidate and working days may be subject to change based on the team and business requirements.

You will work across a broad range of Wills & Estates, Property and Commercial matters and be involved in:

- Diary and calendar management
- Managing emails, correspondence and client communications
- Opening, maintaining and closing files
- Preparing and sending letters, emails and probate documentation




- Drafting correspondence and precedent-based documents
- Liaising with clients, executors, beneficiaries, agents, accountants, brokers and other professional advisers
- Managing deeds, secure custody documents and original records
- Document preparation, scanning, filing and electronic file management
- Coordinating execution and witnessing of documents
- Assisting with probate, estate administration, property and commercial matters
- Billing, file maintenance and general matter administration
- General administrative and personal assistant support

About You

We are looking for someone who is organised, proactive and highly reliable, with excellent attention to detail and strong organisational skills. The role requires the ability to manage competing priorities, communicate confidently and professionally with clients and colleagues, and work effectively in a fast‑paced environment.

Given the nature of some of the work, a caring and empathetic manner is important. The successful candidate will enjoy taking ownership of their responsibilities, working collaboratively within a team, and building long‑term professional relationships.

Skills & Experience

Ideally, you will have experience as a:

- Personal Assistant
- Legal Assistant
- Legal Secretary
- Administrative Assistant

Previous legal experience would be highly regarded but is not essential.

The successful candidate will have:

- Strong written and verbal communication skills
- Excellent organisational and time management skills
- Strong Microsoft Word and Outlook skills
- The ability to work independently and use initiative
- A high level of professionalism and attention to detail

About the Team

You will work directly with a Senior Associate and alongside a supportive team of Partners, lawyers and administration staff across Robinson Gill's Wills & Estates and Property practices.
