We are seeking an experienced, organised, and proactive Senior Administration Officer to join our dynamic team at Structability. This senior role is central to the smooth and efficient operation of our business, providing high‑level administrative support, overseeing workflow processes, and ensuring our clients and engineers receive exceptional service.

As a senior member of the administration team, you will take ownership of daily operational functions, mentor junior staff, and contribute to continuous improvement across our administrative systems.

Key Responsibilities

- Oversee daily administrative operations to ensure efficiency, accuracy, and timely task completion
- Mentor and support junior administration staff, providing guidance and training
- Develop and refine administrative processes to enhance workflow and service delivery
- Monitor and report on KPIs, identifying trends and recommending improvements
- Manage complex client enquiries and support escalations with professionalism and confidence
- Coordinate internal operations across engineering and administrative teams
- Client communication including updates, follow ups, and relationship management




- Engineer scheduling and workflow management
- Oversight of digital filing, data accuracy, and internal record maintenance
- Representing the Structability brand with professionalism and integrity at all times
- Supporting office manager with administrative decision making
- Demonstrated experience in a senior administrative or office management role
- Strong leadership capability with the ability to guide and mentor junior staff
- Excellent organisational skills and a high level of attention to detail
- Proven ability to manage competing deadlines and remain composed under pressure
- Advanced written and verbal communication skills
- Proficiency in Microsoft Office 360
- Strong problem‑solving skills and initiative
- Ability to work collaboratively in a close team environment

Highly Desirable

- Experience improving systems, processes, or workflow efficiency
- Confidence handling escalations and complex client needs
- Experience with KPI monitoring and reporting
- Background in engineering, construction, or professional services administration
