Sydney Smile Care Group is seeking an experienced, confident and results-focused Senior Treatment Coordinator and Front Office Team Leader to join our multidisciplinary dental team.

The primary focus of this position is to guide patients through complex periodontal, implant and restorative treatment plans, build trust, address concerns and support patients in confidently proceeding with recommended treatment.

We are looking for an exceptional communicator who understands that successful treatment coordination is not simply presenting a fee. It requires listening carefully, identifying patient concerns, clearly explaining the value and importance of treatment, discussing suitable payment options and providing consistent follow-up.

This position also includes responsibility for leading, training and supporting the front-office team to deliver a professional and well-coordinated patient experience.

Due to the regular communication needs of our patient community, professional fluency in English, Mandarin and Cantonese is an essential requirement of this position .

About the Role

You will work closely with our periodontist, dentists, oral health therapists, practice managers, dental assistants and front-office team.

Your key responsibility will be to ensure patients understand their diagnosis, recommended treatment, expected outcomes, fees, appointments and next steps.

You will actively manage treatment opportunities from the initial consultation through to acceptance, scheduling, commencement and completion of care.

Treatment Coordination and Case Acceptance

Your responsibilities will include:

- Meeting with patients following periodontal, implant and complex dental consultations
- Explaining recommended treatment in a clear, professional and reassuring manner
- Helping patients understand the importance, benefits and timing of their treatment
- Clearly explaining treatment stages, appointment requirements, fees and payment arrangements
- Identifying and addressing concerns that may prevent patients from proceeding
- Building trust with patients who may feel anxious, uncertain or overwhelmed
- Supporting informed and ethical treatment acceptance without placing patients under inappropriate pressure
- Discussing available payment arrangements and helping patients understand their options
- Preparing and presenting written treatment plans and quotations
- Following up with patients who have not scheduled or commenced recommended treatment
- Following up incomplete or delayed treatment plans
- Maintaining accurate records of patient discussions, concerns and agreed next steps
- Coordinating appointments across multiple clinicians and stages of treatment
- Ensuring accepted treatment is scheduled promptly and correctly
- Monitoring each patient’s progress throughout their treatment journey




- Maintaining regular communication so patients are not lost to follow‑up
- Coordinating periodontal maintenance and continuing-care appointments
- Communicating with referring dentists and other clinicians when required
- Reviewing treatment acceptance results and identifying opportunities for improvement

Communication and Language Requirements

Exceptional communication skills are essential for this position.

The successful candidate must have:

- Professional fluency in spoken and written English
- Professional fluency in Mandarin
- Professional fluency in Cantonese
- The ability to conduct detailed treatment discussions in all three languages
- Confidence explaining complex dental and periodontal treatment in understandable terms
- The ability to communicate treatment fees and payment arrangements professionally
- Strong listening and questioning skills
- The ability to identify the real reason behind a patient’s hesitation or concern
- A warm, empathetic and reassuring communication style
- The confidence to have firm and honest conversations when treatment is key or urgent
- Strong telephone, face-to-face and written communication skills
- The ability to build long-term trust with patients and their families

Front Office Leadership

You will also provide leadership, training and support to the front-office team.

Your responsibilities will include:

- Leading and supporting front-office coordinators and reception staff
- Setting clear expectations for patient communication and follow-up
- Training team members in professional telephone and face-to-face communication
- Training staff in treatment follow‑up and appointment coordination
- Ensuring enquiries and patient concerns are handled promptly and professionally
- Supporting consistent front‑office systems and workflows
- Monitoring outstanding treatment plans and follow‑up activities
- Ensuring front‑office records and patient notes are complete and accurate
- Reviewing scheduling opportunities and helping reduce gaps in clinicians’s books
- Supporting effective communication between the clinical and front-office teams
- Conducting regular team check‑ins, coaching and performance discussions
- Identifying training needs and providing practical guidance
- Holding team members accountable for agreed responsibilities
- Providing clear, respectful and constructive feedback
- Helping the team improve patient service, efficiency and treatment follow‑up




- Reporting on treatment acceptance, outstanding cases and front‑office performance

The successful candidate must be able to lead with confidence while maintaining a respectful, supportive and solutions‑focused approach.

Periodontal and Dental Knowledge

The successful candidate should have experience or strong knowledge in areas such as:

- Periodontal consultations and treatment planning
- Gum disease and periodontal maintenance
- Periodontal surgery
- Dental implants
- Bone grafting and related surgical procedures
- Complex restorative treatment
- Multidisciplinary treatment involving dentists, specialists and oral health therapists
- Pre‑operative and post‑operative patient care
- Dental terminology, appointment sequencing and treatment documentation

Previous chairside dental assisting experience in periodontics, implants, oral surgery or specialist dentistry would be highly regarded.

About You

We are looking for someone who has:

- Significant experience as a dental treatment coordinator
- A demonstrated ability to achieve solid and ethical treatment acceptance
- Experience presenting complex and higher‑value dental treatment plans
- Experience following up unscheduled and incomplete treatment
- Solid knowledge of periodontal, implant or specialist dental care
- Previous dental assisting or clinical experience
- Experience leading, supervising or training a front‑office team
- Strong commercial awareness while remaining patient‑centred
- Confidence discussing fees, deposits and payment arrangements
- Excellent organisational and time‑management skills
- Robust attention to detail
- The ability to manage multiple patients and treatment plans simultaneously
- Confidence using dental practice‑management software
- The ability to remain calm, qualified and solutions‑focused in a busy environment
- A high level of personal accountability and follow‑through
- A genuine commitment to helping patients receive the care they need

Certificate III or Certificate IV in Dental Assisting would be advantageous but may not be essential for a candidate with strong relevant experience.
