The Commercial & Marketing Coordinator is a broad, hands-on role that sits at the intersection of commercial operations, marketing execution, and game day event management for CQ Capras Rugby League Club.
This role exists to support the club's commercial function — freeing up senior leadership to focus on strategic partner acquisition, 2027 season package development, and business growth — while ensuring the day-to-day delivery of marketing, sponsorship, merchandise, teamwear, and event operations is managed with care and consistency.
The successful candidate will be highly organised, comfortable working across multiple workstreams simultaneously, and capable of representing the club professionally with corporate partners and the wider Rockhampton community.
Key Responsibilities
1. Commercial & Partnership Support
- – Assist in the preparation of sponsorship proposals, partner briefing documents, and renewal packages
- – Coordinate partner entitlement delivery — Weekly scoreboard content, ground announcer reads, game day sponsor activations and social media partner announcements
- – Assist with onboarding documentation and welcome packs for new corporate partners
- – Email send outs to corporate partners for events, notices and general communications
- – Oversee Memberships to ensure a successful process from purchase to delivery of welcome pack and branded items
2. Game Day Event Operations
- – Coordinate casual and volunteer staff — rostering, induction, briefing, and assist Event Manager with on-the-day management
- – Manage corporate partners and corporate box guest lists, lanyard distribution and corporate box digital and physical signage
- – Liaise and coordinate catering requirements with external vendor and hospitality requirements with Capras staff for corporate areas
- – Capture post-game operational feedback and compile action logs for review
- – General support to Event Manager and Partnerships & Operations Manager on game day
3. Marketing Execution
- – Draft and schedule social media content across Facebook, Instagram, and LinkedIn based on the club's marketing plan
- – Assist with email marketing campaigns and SMS communications (corporate hospitality, memberships, merchandise)
- – Coordinate social media campaigns promoting merchandise, hospitality packages, and club memberships across key calendar windows
- – Support the production of marketing materials for events including the Season Launch, Media Day, Presentation Night, Game Day Signage (Bars / Entry)
- – Update website content for new merchandise, branded items, and partner announcements
4. Teamwear, Merchandise & Branded Assets
- – Coordinate the annual teamwear and merchandise ordering cycle — liaising with suppliers, tracking timelines, and managing delivery schedules
- – Assist with concept development and sign-off coordination for teamwear, merchandise ranges, and branded assets
- – Organise merchandise photo shoots — including date, location, personnel, and logistics coordination
- – Manage website updates for new merchandise items and coordinate merchandise voucher distribution to corporate partners
- – Track and replenish branded asset inventory — banners,
lanyards, corporate cards, welcome pack components, and merchandise discount cards
5. Administration & Communications
- – Maintain club document templates — letterheads, email signatures, and online branded items — following each season refresh
- – Assist with player-facing administration including survey forms, marketing prospect coordination, and Media Day logistics
- – Support RSA compliance administration for game day hospitality staff
- – Coordinate school and community outreach for the Game Day Hospitality Program & Volunteering Programs
What We're Looking For
- – Strong organisational skills with the ability to manage multiple projects and deadlines simultaneously
- – Experience in event coordination, marketing, or a related field
- – Confident written communicator — able to draft professional emails, social content, and briefing documents
- – Competent across standard digital tools — Microsoft Office, social media platforms, email marketing systems
- – A self-starter who can work autonomously and take ownership of tasks with minimal supervision
- – Comfortable working irregular hours including Saturday game day events
- – Experience in sponsorship, partnerships, or sports administration
- – Familiarity with digital ticketing platforms, POS systems, or CRM tools
- – Background in community sport, hospitality, or local business environment
- – Basic graphic design capability (Canva or similar)
- – Understanding of AI tools (ChatGPT/ Claude)
