Due to continued growth, we are seeking a highly organised and proactive Regional Fleet Controller to join our Fleet Team based at our Tullamarine Branch.
This is a pivotal role responsible for maximising fleet availability, ensuring vehicles are serviced, repaired and returned to service efficiently while supporting the overall profitability and operational success of the business.

Due to continued growth, we are seeking a highly organised and proactive Regional Fleet Controller to join our Fleet Team based at our Tullamarine Branch.
This is a pivotal role responsible for maximising fleet availability, ensuring vehicles are serviced, repaired and returned to service efficiently while supporting the overall profitability and operational success of the business.
What You'll Be Doing
Working closely with the Fleet Maintenance Manager, Operations Managers and Branch Teams, you will:
- Coordinate vehicle servicing and maintenance with in house & approved mechanical repairers.
- Liaise with third-party service providers to ensure timely vehicle collection and return.
- Inspect vehicles upon completion of work to ensure repairs and servicing meet company standards.
- Update fleet management systems and return vehicles to rental availability promptly.
- Coordinate warranty repairs and maintenance bookings.
Vehicle Damage Management
- Review vehicle damage reports and determine appropriate repair pathways.
- Assess opportunities for in-house rectification before external repair allocation.
- Obtain and review repair quotations from approved repair networks.
- Raise and approve purchase orders within delegated authority levels.
- Coordinate repairs with panel shops and suppliers across multiple locations.
- Monitor repair progress, turnaround times and fleet downtime KPIs.
- Inspect completed repairs to ensure quality workmanship.
- Coordinate windscreen repairs, replacement services and towing requirements.
- Maintain accurate records and update fleet systems throughout the repair process.
Fleet Onboarding & Offboarding
- Oversee the onboarding of current vehicles to company standards, including:
- Vehicle branding and sticker installation.
- GPS tracker installation and system setup.
- Number plate surrounds, floor mats and fleet accessories.
- Key tagging and fleet system updates.
- Vehicle activation and availability for rental.
- Manage vehicle offboarding and disposal processes, including:
- Vehicle condition assessments.
- Removal of company branding and equipment.
- Tracker deactivation and removal.
- Coordination of vehicle sales handovers and transportation.
- Liaison with relevant state road authorities regarding registrations and plates.
Fleet Projects & Operational Support
- Assist with fleet audits and vehicle-related projects.
- Maintain strong relationships with repairers, suppliers and service providers.
- Drive initiatives that maximise fleet utilisation and minimise vehicle downtime.
- Support continuous improvement across fleet operations.
About You
- Previous experience in fleet management, vehicle maintenance coordination, automotive operations or a similar role.
- Strong knowledge of vehicle servicing, repairs and damage management processes.
- Exceptional organisational and time management skills.
- The ability to coordinate multiple priorities across several locations simultaneously.
- Excellent communication and stakeholder management skills.
- Strong attention to detail and problem-solving abilities.
- Intermediate computer skills and confidence using fleet management systems.
- A proactive approach and the ability to work independently.
- A current driver's licence.
Desirable
- Experience within the vehicle rental, automotive or transport industry.
- Experience managing repair networks, panel shops or mechanical contractors.
- Knowledge of fleet management software and vehicle tracking systems.
