Some roles are tightly defined from day one. This is not one of them.
The business:
This is a chance to step into a growing medical technology business that supplies biomaterials to companies making life-saving heart valves.
You'll be joining at a stage where your experience will genuinely shape how the company operates day to day, working alongside a technical, ambitious team building something meaningful, with the autonomy to improve how things work and direct access to the people making the decisions.
The opportunity:
This will suit someone who's already had solid runs in office management, business administration, HR administration or a similar broad business support role, and is ready to bring that experience somewhere there's still plenty to build.
Maybe you've already helped get another office or team running smoothly. The systems are in place, things tick along and the role has become a little too steady. This is the chance to take what you've learned into a business where your judgement and initiative will make a visible difference from day one.
As this is a newly created role, a key part of your brief will be building the practical operating foundations the business needs as it grows. You'll identify where structure is missing and put repeatable systems, processes and routines in place so day to day operations run better.
What you'll own, amongst other things:
- Office coordination and meeting coordination
- Systems implementation & support, including SharePoint
- Onboarding and payroll coordination
- Travel, supplier and purchasing administration
- Finance administration
You'll also be a big part of the glue for the Melbourne team,
as much of the leadership group splits its time across cities. From team events to curating a good onboarding experience, you'll play a big part in shaping the everyday culture of the office.
As the business scales, there's genuine room for this role to grow into other areas too, whether that's more responsibility around the systems you've built, or picking up something more commercial, if that's a direction you want to take it.
What you'll bring:
While you won't need to have done every part of the role before, you will ideally need experience putting systems and processes in place, rather than only maintaining established ones. You'll also need enough experience to have encountered the challenges that come with a broad role and know how to work through them.
Experience in a regulated, technical, healthcare, manufacturing or biotech environment would help, but it isn't essential. What matters more is that you're practical and organised, and comfortable creating order without needing everything handed to you.
This calls for someone level-headed. You'll be the person people go to, including people outside your reporting line, and knowing how to manage those requests while staying focused on the right priorities matters.
The role:
This is a hands-on office management role, not an Executive Assistant or people-management position. It will suit someone who enjoys taking ownership, getting involved and making things work better.
The role is based with the Melbourne team in Brunswick. There's flexibility from around 0.6 FTE through to full time, whether that's three full days a week, shorter days spread across more days, or something built around school hours.
