About the role
As our NSW Branch Operations Officer, you will be the operational hub connecting Sales, Service, Supply Chain, Logistics and Customers. You will coordinate the end-to-end fulfilment of medical imaging equipment orders, ensuring seamless delivery from quotation and order processing through to installation, invoicing and project completion.
Working within a dynamic corporate environment, you will support customer satisfaction by ensuring orders are delivered on time, inventory is accurately managed, demonstrations are coordinated effectively and stakeholders are kept informed throughout the process.improvements.
Key Responsibilities:
Manage the complete order lifecycle from order receipt through to delivery, installation and invoicing.
Coordinate finished goods installations and maintain project documentation.
Create installation folders, DA and ROI documentation, and coordinate uploads to Supply Chain and project management systems.
Process and manage backorders, order exceptions and customer follow-up activities.
Arrange freight bookings and monitor delivery schedules to meet customer commitments.
Manage finished goods invoice processing and support accounts payable and receivable activities.
Support Sales and Service teams with quotations, reporting and customer administration.
Monitor order progress and provide regular status updates to stakeholders.
Coordinate product demonstrations, demonstrations logistics and demonstration lifecycle management.
Maintain accurate customer records within Salesforce and other business systems.
Assist with reporting, analysis and branch performance monitoring.
Inventory & Logistics Management
Manage stock receipting, transfers,
stocktakes and loan inventory activities.
Coordinate transport providers and monitor freight performance and costs.
Support inventory lifecycle management and documentation control.
Ensure efficient movement of equipment and parts to support customer requirements and business objectives.
Branch Operations & Administration
Act as a first point of contact for internal and external stakeholders.
Support branch meetings, service meetings and operational activities including minutes and follow-up actions.
Assist with branch purchasing, asset management and general office administration.
Support continuous improvement initiatives and process optimisation across operational functions.
Ensure customer details are maintained in Salesforce.
Assist with collection of overdue accounts.
About You:
You are an experienced operations, sales support or supply chain professional who thrives in a high-pressure corporate environment where customer delivery, order fulfilment and operational excellence are critical to success. You are resilient, adaptable and confident, with the ability to remain calm under pressure while managing multiple priorities and stakeholder expectations.
Critical Skills
Exceptional organisational and prioritisation skills, with the ability to manage multiple competing deadlines simultaneously.
Strong stakeholder management skills, with the confidence to communicate effectively across Sales, Service, Supply Chain, Logistics and Customers.
Excellent written and verbal communication skills, with the ability to communicate concisely, professionally and with influence.
Resilience, adaptability and emotional regulation, enabling you to remain composed and solutions-focused in a fast-paced environment.
Strong attention to detail and problem-solving capability, ensuring accuracy while balancing urgency and customer expectations.
Critical Knowledge
Sound understanding of end-to-end order fulfilment and customer delivery processes.
Knowledge of inventory management principles, including stock receipting, transfers, stocktakes and inventory lifecycle management.
Understanding of freight, logistics and transportation coordination.
Working knowledge of ERP systems, preferably Microsoft Dynamics 365/NAV or equivalent.
Working knowledge of CRM systems, preferably Salesforce.
Critical Experience
Proven experience in sales operations, supply chain, logistics,
inventory management or customer service coordination.
Demonstrated experience managing high-volume order processing and end-to-end order fulfilment activities.
Experience coordinating multiple stakeholders across different business functions in a corporate environment.
Hands-on experience using ERP and CRM systems to manage orders, inventory and customer activities.
Experience working in a fast-paced, high-pressure environment where competing priorities and tight deadlines are the norm. Experience within medical devices, healthcare, technical equipment or medical imaging will be highly regarded.
A proactive, solutions-focused mindset with a genuine "can-do" attitude.
Current driver's licence.
