About the role:
This is a genuinely hands-on role – you will spend time at your desk coordinating inventory and orders but will also be on your feet managing our fulfillment room, physically unpacking, and preparing deliveries, and managing our lovely new office.
We're looking for an organised, proactive, and hands-on Business Support & Office Coordinator to join our team on a 12 month parental leave contract onsite at our beautiful head office in Mascot. Reporting to our Trade Marketing Manager, you'll play an important role in keeping our trade, sales and office operations running smoothly. This is a diverse role that combines logistics, inventory, sales support, and office coordination, meaning no two days are the same. While we're based in a beautiful corporate office, we also manage our own trade marketing fulfillment in-house. A key part of this role involves maintaining our dedicated fulfillment room, picking, and packing point of sale and educational materials, and coordinating dispatches to our national Sales team and customers. You'll take ownership of this process, ensuring resources are delivered accurately and on time.
You'll also help create a workplace our team enjoys coming to. From keeping our kitchen well stocked with breakfast supplies, everyday snacks, and beverages, to ensuring our shared spaces remain welcoming and well presented, you'll play an important role in creating a positive employee experience.
Some of the key responsibilities for this role include:
- Maintain stock levels of marketing collateral, unpack deliveries, manage our fulfillment room, coordinate re-orders, and liaise with couriers, suppliers, and internal stakeholders.
- Pick, pack and dispatch point of sale and educational materials, ensuring requests are processed accurately and delivered to our national Business Development team and customers on time.
- Managing our workplace stationery, food, and beverage orders, maintaining our kitchen and shared spaces, coordinating contractors, and ensuring our office remains clean, organised and well presented for our team and visitors.
- Assist with coordinating training events, sales conferences, office celebrations, and other internal initiatives.
- Provide reporting, data entry and administrative support as required.
About you:
You have previously worked in a fast-paced environment where staying organised, juggling priorities, and providing great service were all part of the job (we prioritise attitude, reliability, and willingness to get stuck in rather than specific industry experience).
You are equally comfortable coordinating suppliers and updating spreadsheets as you are rolling up your sleeves to prepare and pack orders for dispatch or helping create a welcoming office environment. Ideally, you will possess:
- Excellent organisational skills with the ability to manage multiple priorities.
- Strong attention to detail and accurate data entry skills.
- Excellent communication and customer service skills.
- Confidence using Microsoft Office, with NetSuite or a similar ERP system highly regarded (not essential).
- A practical, can-do attitude and willingness to get involved in a variety of tasks.
- The ability to safely lift and move boxes of promotional materials (up to 5kg).
