Reception & Administration Coordinator
Part-Time | 3 Days per Week | Footscray
Build a career with purpose.
At Best Home Therapy, we believe great care starts with great people. Working across the NDIS and Support at Home sectors, we help older Australians and people living with disability remain independent, achieve their goals and live safely in their own homes. Every phone call you answer, every appointment you coordinate and every problem you solve helps someone receive the care they need.
We're looking for an enthusiastic, organised and friendly Reception & Administration Coordinator to become an integral part of our growing team.
About Best Home Therapy
Best Home Therapy is one of Melbourne's fastest-growing mobile allied health providers, delivering Physiotherapy, Occupational Therapy and Speech Pathology services across metropolitan Melbourne. Our team is passionate about delivering exceptional care while fostering a workplace where people are supported, challenged and genuinely enjoy coming to work.
Why Join Best Home Therapy?
At Best Home Therapy, you'll be part of a team that genuinely changes lives. This is much more than a reception or administration role. You'll support clinicians, help clients and families navigate their care, solve problems and play an important role in ensuring our services run smoothly.
What you'll love about the role
- Meaningful work – Make a genuine difference in the lives of older Australians and people living with disability every day.
- Variety – No two days are the same. You'll work across reception, administration, client support, scheduling, clinician support and service coordination.
- Flexibility – Enjoy a role where every day brings current challenges and opportunities to learn.
- Career development – Join a rapidly growing allied health organisation with genuine opportunities to develop your skills and progress your career.
- Supportive culture – Work alongside passionate clinicians and a collaborative administration team that values teamwork, kindness and continuous improvement.
Is this role right for you?
You'll love this position if you enjoy variety, thrive in a fast-paced environment and like building relationships with people. This role is not suited to someone looking for repetitive administrative work. Instead, you'll enjoy a dynamic position where you'll be solving problems, supporting clinicians, assisting clients and contributing to meaningful healthcare outcomes every single day.
About the Role
As the first point of contact for our clients, families, support coordinators and clinicians, you'll play a key role in creating an outstanding experience while helping keep our growing organisation running efficiently.
Your responsibilities will include
- Answering incoming phone calls and responding to email enquiries with professionalism and warmth.
- Welcoming clients, carers, referrers and healthcare professionals.
- Coordinating clinician diaries, appointments and schedules.
- Creating new client files and maintaining accurate records.
- Preparing and updating Service Agreements and NDIS documentation.
- Processing client discharges and maintaining client records.
- Assisting with equipment orders and coordinating resources for clinicians.
- Providing administrative support to our Physiotherapists,
Occupational Therapists and Speech Pathologists.
- Liaising with clients, families, support coordinators and healthcare providers.
- Sending client communications, including birthday messages and other engagement activities.
- Assisting with general office administration and ensuring the office remains organised, welcoming and well presented.
- Supporting continuous improvement projects and helping our team deliver exceptional service.
Every day is different, providing plenty of variety, responsibility and opportunities to make a real impact.
About You
We're looking for someone who:
- Loves helping people and providing exceptional customer service.
- Has excellent communication skills, both over the phone and in writing.
- Is highly organised with excellent attention to detail.
- Can confidently manage multiple tasks and priorities.
- Enjoys solving problems and thinking proactively.
- Is confident using Microsoft 365 and learning new software systems.
- Works well independently while also thriving as part of a collaborative team.
- Takes pride in creating positive experiences for clients and colleagues.
Previous experience in healthcare, allied health or NDIS administration is highly regarded, but not essential. We're looking for someone with the right attitude, a willingness to learn and a genuine passion for helping others.
