ABOUT THE ROLE
Machine Hall is seeking an experienced and hands-on Bar & Venue Manager to support the delivery of events across both Machine Hall and Vault.
This is a casual position, with most shifts taking place between Tuesday and Saturday across daytime and evening events. The role offers variety, with events ranging from corporate functions and conferences to private celebrations, dinners, launches and parties.
It is a fun and fast-paced role; however, it requires a responsible and capable hospitality skilled who can take ownership of an event, maintain a high level of attention to detail and ensure excellent service for our clients and their guests.
The successful candidate will be confident leading a team while also being willing to roll up their sleeves and assist wherever required. This may include setting up the venue, briefing staff, managing the bar, supporting service, resolving issues and overseeing the venue through to close.

KEY RESPONSIBILITIES
EVENT AND VENUE MANAGEMENT
- Oversee the on-site delivery of events across Machine Hall and Vault, from venue preparation and supplier arrival through to guest departure and final close-down.
- Act as the primary venue contact during events, ensuring clients, suppliers and event teams are supported and informed throughout the shift.
- Review event briefs, run sheets, floor plans and operational requirements prior to each event.
- Ensure the venue is presented to a high standard and event spaces are set according to the approved plans.
- Manage event timings and operational transitions, including bump-in, guest arrival, food and beverage service, entertainment, formalities, bump-out and venue closure.
- Identify and resolve operational issues quickly and professionally.
BAR AND HOSPITALITY OPERATIONS
- Oversee the setup, operation and close-down of bars across both venues.
- Ensure beverage service is delivered efficiently, responsibly and in line with the client’s selected package.
- Brief and supervise bartenders, waitstaff and other casual team members.
- Monitor stock levels, glassware, ice, equipment and service areas throughout each event.
- Support the team with hands-on bar and floor service when required.
- Maintain high standards of presentation, cleanliness,
guest service and responsible service of alcohol.
- Ensure all wastage, breakages, stock movements and incident records are accurately documented.
TEAM LEADERSHIP
- Lead event and bar teams with clear direction, professionalism and a positive attitude.
- Conduct pre-event staff briefings, ensuring all team members understand the event schedule, service expectations, venue procedures and their individual responsibilities.
- Allocate staff breaks and adjust team responsibilities throughout the event based on operational requirements.
- Create a collaborative working environment while maintaining accountability and service standards.
- Provide constructive feedback and report any staffing or performance concerns to management.
CLIENT & SUPPLIER SUPPORT
- Develop positive working relationships with clients, caterers, AV teams, entertainment providers, security, cleaners and other event suppliers.
- Welcome clients on arrival and provide reassurance that their event is being managed professionally.
- Coordinate supplier access, deliveries, setup requirements and departure procedures.
- Communicate clearly and respectfully with building tenants and other stakeholders when required.
SAFETY, COMPLIANCE AND RISK MANAGEMENT
- Ensure each event is delivered in accordance with venue policies, liquor licensing requirements, responsible service practices, safety procedures and building protocols.
- Complete venue opening and closing procedures, including operational and safety checks.
- Monitor guest behaviour, venue capacity, service areas and access points throughout the event.
- Work closely with security personnel to manage guest safety and respond appropriately to incidents.
- Escalate significant operational, safety or client concerns to senior management.
- Complete incident reports and event handover notes where required.
QUALITY CONTROL
- Maintain Machine Hall and Vault’s standards across venue presentation, service, cleanliness and guest experience.
- Conduct a final venue inspection at the end of each event and ensure all areas are left secure, clean and operational.
- Prepare clear post-event notes covering incidents, client feedback, staffing, beverage service, supplier performance and any required follow-up.
- Identify opportunities to improve venue procedures, service delivery and the overall event experience.
ABOUT YOU
- You are an experienced hospitality professional who enjoys the energy and variety of events.
- You are confident taking responsibility for a venue and team, but you are equally comfortable stepping behind the bar, clearing glassware, moving furniture or helping wherever needed to ensure the event runs smoothly.
- You have strong attention to detail and take pride in creating an excellent experience for clients and guests.
- You are approachable and service-focused while also being able to make firm decisions when required.
- You remain calm under pressure and can confidently manage changing priorities, client requests and unexpected issues.
REQUIREMENTS
- Demonstrated experience in hospitality, bar management, venue operations or event management.
- Experience supervising bar staff, waitstaff or casual event teams.
- Strong knowledge of bar operations and high-quality beverage service.
- A current Responsible Service of Alcohol qualification.
- Excellent communication, leadership and interpersonal skills.
- Strong organisational skills and attention to detail.
- The ability to interpret event briefs, run sheets and floor plans.
- Confidence managing clients, suppliers and staff in a fast-paced environment.
- The ability to work independently and make sound operational decisions.
- Availability to work casual shifts between Tuesday and Saturday, including daytime, evening and late-night events.
- The physical ability to complete hands-on venue duties, including standing for extended periods and assisting with event setup and pack-down.
DESIRABLE EXPERIENCE
- Experience working in premium event venues, hotels, restaurants, bars or large-scale hospitality environments.
- Experience managing corporate events, conferences, seated dinners, cocktail events and private celebrations.
- Knowledge of beverage stock control, ordering, wastage management and event reconciliation.
- Experience working with caterers, AV suppliers, security teams and external event producers.
- First Aid certification would be advantageous.
