We're looking for an Executive Assistant to support our Chief Operating Officer and help keep a busy operational portfolio organised, coordinated and moving forward.

What you'll be doing

Working closely with the COO, you'll provide a broad range of executive and administrative support, including:

- Coordinating complex diaries, meetings, travel and day-to-day administrative requirements.
- Preparing correspondence, reports, presentations and meeting documentation.
- Organising agendas,



taking minutes and tracking actions to support follow-through and accountability.
- Supporting effective communication between the COO, leaders, teams and external stakeholders.
- Assisting with operational projects, events and portfolio activities as required.
- Maintaining accurate records and handling confidential information with discretion and professionalism.
- Contributing ideas to improve administrative processes and ways of working.

About you

You are organised, dependable and thrive in a busy environment. You take pride in producing high-quality work, have excellent attention to detail, and know how to balance multiple priorities while maintaining a professional and approachable manner.

- Relevant qualification in Business Administration, Executive Support or related discipline (desirable)
- Demonstrated experience providing executive or senior administrative support in complex organisational environments
- Experience supporting operational leaders, projects or governance coordination highly regarded
- Advanced proficiency in Microsoft Office and relevant administrative systems
- Experience in not-for-profit, community services or purpose-led organisations desirable
- Demonstrated capability in providing high-quality executive and administrative support, including diary management, meeting coordination, travel arrangements and workflow management in busy operational environments
- Experience & Qualifications

You'll bring:

- Experience providing executive or senior administrative support in a complex organisation.
- Strong organisational and time management skills.
- Excellent written and verbal communication skills.
- Confidence preparing professional documents, reports and presentations.




- Coordination experience with meetings and managing schedules with attention to detail and accuracy.
- Sound judgement and the ability to maintain confidentiality.
- Advanced Microsoft Office skills and confidence working across administrative systems.
- A positive, flexible and solutions-focused approach to work.
- Desirable:

- A qualification in Business Administration, Executive Support or a related field.
- Experience working within community services, the not-for-profit sector or another purpose-led organisation.
- Experience supporting operational leaders, projects or governance activities
