Executive Assistant to the Managing Director

The Opportunity – About the Role
This is a rare opportunity for an experienced Executive Assistant to work with our Managing Director across multiple businesses within the POP & CO group.
Working at the centre of the organisation, you'll coordinate executive priorities, client relationships, compliance, business operations and strategic projects while working closely with entrepreneurs, business owners, government agencies and stakeholders across Australia and internationally.
You'll become someone the Managing Director trusts implicitly - not just because you're highly organised and always deliver, but because you think five steps ahead, understand the business, exercise sound judgement and ensure the important things are always under control.
Some of the Key Responsibilities include:
- Partnering closely with the Managing Director to coordinate priorities across multiple businesses.
- Managing a complex executive diary, meetings and international travel.
- Preparing executive correspondence, presentations and communications, and acting as the trusted first point of contact for the Executive Office.
- Anticipating priorities and ensuring the Executive is always 5 steps ahead.
- Coordinating client onboarding and supporting exceptional client experiences.
- Building trusted relationships with clients, entrepreneurs, C-suite leaders and key stakeholders.
- Liaising with the ATO, ASIC and other government agencies while supporting client compliance activities.
- Managing ASIC company administration and corporate compliance obligations.
- Driving executive operations and identifying opportunities to improve systems,
processes and business efficiency.
- Managing Microsoft 365, SharePoint, employee onboarding/offboarding and key business records.
- Coordinating office operations, team events and initiatives that foster a positive, high-performing workplace.
- Supporting the smooth day-to-day operation of our Hawthorn office.

To Be Successful, You'll Bring
- Extensive EA experience supporting a Managing Director or senior executive within a global firm.
- Previous experience within an accounting, finance or professional services workplace will be highly regarded.
- Outstanding organisational and time management skills with the ability to manage multiple competing priorities and deliver on time.
- Exceptional attention to detail and consistently high standards of work.
- Excellent written and verbal communication skills.
- Absolute discretion and professionalism when handling confidential information.
- Strong stakeholder management skills and the ability to build trusted relationships.
- Advanced Microsoft 365 skills, including Outlook, Word, Excel, PowerPoint and Teams; Experience with Adobe Suite and Canva will be highly regarded.
- Experience using SharePoint and modern AI productivity tools.
- A solutions-focused mindset with a genuine interest in continuous improvement.
- A current driver's licence and access to your own vehicle.
