I.N Ultra Clean is a commercial cleaning company servicing an elite private school that requires ongoing administrative coordination, compliance management and detailed scheduling. The business operates with a workforce of approximately 15 staff working across various shifts and locations. The director is heavily involved in hands‑on cleaning duties, onsite supervision, quality control and responding to client needs. Because the director is primarily engaged in operational cleaning work, there is no capacity to manage the substantial administrative, organisational and staffing requirements of the business. The Office Manager position is therefore essential to ensure that scheduling, documentation, compliance, communication and service coordination are completed accurately and efficiently.
Key responsibilities:
- The Office Manager is responsible for managing day‑to‑day administrative operations of I.N Ultra Clean and coordinating all rosters, shift allocations, attendance tracking and timesheets for approximately 15 employees. The role requires acting as the primary communication link between the director, supervisors, cleaning staff and client representatives.
- Responsibilities include maintaining employee records, onboarding documents, induction paperwork, safety documentation and training records.
- The Office Manager oversees workplace health and safety administrative obligations, prepares and maintains incident reports and ensures WHS registers are up to date.
- The position involves managing procurement of cleaning supplies and equipment, liaising with suppliers and monitoring inventory levels.
- The Office Manager supports financial administration functions including invoicing, reconciliation, payroll assistance and tracking general operational expenditure.
- The role includes supervising administrative processes, maintaining effective workflow systems, preparing operational reports, service summaries, client updates and documentation required by the director.
- The Office Manager maintains accurate service logs, incident reports and compliance documentation for the school contract and other client sites.
- The role also focuses on improving office systems, filing procedures and digital record‑keeping.
- The Office Manager is responsible for responding to operational issues, assisting with urgent staff redeployment and documenting service outcomes.
- The position provides full administrative support to the director, enabling the director to concentrate on hands‑on cleaning duties and direct client service delivery.
Skills and experience required:
The position requires experience in office administration or operational coordination roles, strong organisational skills and the ability to manage multiple tasks and deadlines. The Office Manager must have experience coordinating rosters and administrative processes and must be able to work independently with responsibility for office operations. The role requires clear written and verbal communication skills for interaction with clients and staff. An understanding of WHS documentation, compliance requirements and record‑keeping obligations is essential. The Office Manager must be capable of preparing reports, maintaining accurate records and supporting a service‑based business and a workforce of approximately 15 employees.
