This position is suitable for someone passionate about migration, international education and client service who wants to build a long-term career in the industry.
About the Role
You will work under the direction and supervision of our Registered Migration Agents, assisting with client-file administration, document collection, draft forms, skills-assessment matters and general office operations.
This is an administrative support position. The successful candidate will not independently provide immigration assistance, migration advice or legal advice unless separately authorised to do so under Australian law.
Key Responsibilities
Under the direction and supervision of a Registered Migration Agent, you will:
- Collect, organise and maintain documents for visa and skills-assessment matters.
- Conduct initial administrative client intake and record factual information.
- Create and maintain client files, file notes, checklists and compliance records.
- Enter client-provided information into draft forms for review and approval by the supervising Registered Migration Agent.
- Provide administrative assistance with Form 956, service agreements, authority forms, statement of services and related documents.
- Prepare draft correspondence using approved templates and instructions.
- Follow up with clients regarding outstanding information and documents.
- Communicate administrative updates and information approved by the Registered Migration Agent.
- Schedule consultations, appointments and follow-up activities.
- Monitor deadlines and bring important dates to the Registered Migration Agent’s attention.
- Undertake internal administrative research as directed, without providing findings or migration advice directly to clients.
- Liaise with clients, education providers and internal team members on administrative matters.
- Maintain accurate records in the company’s client-management and document-management systems.
- Prepare spreadsheets, reports and operational data using Microsoft Excel.
- Protect confidential client information and comply with privacy, record-keeping and company procedures.
- Refer all questions about visa options, eligibility, migration strategy, application risks and prospects of success to a Registered Migration Agent.
- Perform other reasonable administrative and operational duties.
All substantive immigration assistance, recommendations, representations and final application decisions will be provided or approved by a Registered Migration Agent.
Professional and Regulatory Boundaries
Unless separately registered or legally authorised, the successful candidate must not:
- Provide immigration or legal advice.
- Recommend a visa type or migration pathway.
- Assess a person’s visa eligibility or prospects of success.
- Interpret migration legislation, regulations or policy for a client.
- Independently prepare, finalise, approve or lodge a visa application.
- Make representations to the Department of Home Affairs or another authority as a migration agent.
- Quote or charge professional fees for immigration assistance.
- Represent themselves as a Registered Migration Agent.
- Use another person’s Migration Agent Registration Number as their own.
- Provide substantive answers to migration-related enquiries without approval from the supervising Registered Migration Agent.
About You
The successful candidate will have:
- A minimum of one year’s experience in migration, international education, legal services, administration or a related professional environment.
- Strong attention to detail and excellent organisational skills.
- Valuable written and verbal English communication skills.
- The ability to handle confidential and sensitive client information professionally.
- Strong computer, file-management and document-management skills.
- Advanced Microsoft Excel skills for reporting, data management and analysis.
- The ability to follow instructions and work within clearly defined skilled boundaries.
- The ability to manage competing priorities in a fast-paced environment.
- A positive attitude, willingness to learn and strong work ethic.
- A commitment to accuracy, ethical conduct and professional client service.
- A desire to grow with the company over the long term.
- Valid Australian working rights.
Previous migration or international education experience will be highly regarded.
