Phillip Island Holiday Homes is seeking a Short Term Rental Operations Agent to join our friendly and dynamic team on a full-time basis based in Coburg, VIC 3058.

This is a pivotal role within our guest services operations, working from our administration office in Coburg. Successful applicants will be responsible for working on the day-to-time operations of our short-term rental properties. You will be the key point of contact for guests, property owners, and internal teams, ensuring seamless experiences across all touchpoints. This position is integral to maintaining our reputation for excellence in the holiday rental sector and directly contributes to the success and growth of Phillip Island Holiday Homes.

Key responsibilities

- Managing guest enquiries, bookings, and reservations through multiple channels, including phone, email, and online platforms
- Assisting guests as needed for check-in and check-out, property access instructions, in house assistance & troubleshooting
- Responding promptly to guest requests, concerns, and complaints, resolving issues to ensure satisfaction and positive reviews
- Coordinating with property owners regarding maintenance issues, repairs, and property updates
- Managing property calendars, availability, and pricing in coordination with the wider team
- Processing payments, managing invoices, and maintaining accurate financial records for properties and transactions
- Maintaining comprehensive guest and property databases, ensuring all information is current and accurate
- Liaising with housekeeping and maintenance teams to ensure properties are prepared to the highest standards
- Promoting properties and managing relationships with local attractions, restaurants, and service providers
- Handling administrative tasks including correspondence, documentation, and reporting

What we're looking for

- Strong customer service skills with a proven ability to manage guest interactions professionally and courteously




- Excellent organisational and time management abilities, with capacity to prioritise effectively
- Proficiency in property management software and booking platforms would be preferred
- Competent computer skills including Microsoft Office and experience with database management
- Strong written and verbal communication skills with attention to detail
- Problem-solving mindset with ability to make sound decisions under pressure
- Reliability and flexibility, including availability for occasional rotating weekend work
- Knowledge of the Phillip Island area and tourism industry is preferred but not essential
