ABOUT THE ROLE

We are currently looking for an Administration Assistant to join our Aftersales facility in Dandenong. Providing administrative and operational support to the After Sales business nationally. The role is accountable for warranty administration, service planning coordination, customer communication, reporting, and invoicing.

ESSENTIAL DUTIES AND RESPONSIBILITIES

- Provide professional and timely responses to customer enquiries via phone, email, and in person.
- Administer all warranty claims nationally.
- Monitor warranty performance, identify trends, recurring failures, and cost drivers.
- Coordinate national service schedules, technician allocations, customer bookings, and resource planning activities.
- Prepare and process service invoices, purchase orders, timesheets, and customer billing documentation.
- Coordinate general office administration, and facility administration as required.
- Assist with debtor management, and resolution of customer invoice queries.
- Create, monitor, and close service work orders.

COMPETENCIES

- Microsoft Office Suite (Excel, Word, PowerPoint and Outlook)
- Excellent verbal and written communication skills
- Ability to work independently and in a versatile team environment
- Ability to multi-task and deliver to deadlines




- A high degree of attention to detail

QUALIFICATIONS/EXPERIENCE

- Certificate IV or Diploma in business Administration, Operations Management, Logistics, or equivalent experience
- Previous Experience in After Sales, Service Operations, Manufacturing, or transport industries is preferred but not essential
- Excellent phone communication with a clear speaking voice
- Experience with scheduling and planning systems – Preferred but not essential
- Epicor or MRP system experience – Preferred but not essential

This position also requires the applicant to undertake a pre-employment medical which includes a drug and alcohol analysis, musculoskeletal evaluation and hearing test.
