We're looking for an organised, proactive and personable Project Sales & Client Coordinator to join our Melbourne studio.

This is an exciting opportunity for someone who is passionate about architecture and enjoys working with people, while also loving the organisation, communication and systems that sit behind an exceptional client experience.

Whether you're an architecture graduate, architecture student, interior designer, building designer or someone with client service experience who has a genuine interest in architecture, we'd love to hear from you.

About the Role

You will become the central coordinator of our client journey from the moment a new enquiry arrives through our website until clients meet with our Design Architect.

Some days you'll spend much of your time speaking with prospective clients, learning about their project and helping them take the next step.

Other days you'll be immersed in emails, CRM management, documentation, AI-assisted workflows and ensuring every client receives an exceptional experience.

This isnota high-pressure sales role.

Success comes from building genuine relationships, listening carefully, communicating thoughtfully, following up consistently and ensuring every detail is managed professionally.





As your confidence and knowledge develop, you'll gradually become more involved in our design briefing meetings and eventually assist our Design Architect during client consultations.

Your Responsibilities

Working closely with our Design Architect, you will:

Respond to new website enquiries promptly and professionally.

Call prospective clients to understand their project, goals and suitability.

Build genuine relationships and create an exceptional first impression of Arkular.

Qualify new opportunities and schedule meetings with our Design Architect.

Manage and maintain HubSpot CRM with accurate notes and client information.

Improve HubSpot workflows, automations and AI-assisted processes.

Write professional emails and client communications.

Coordinate fee proposals using our established Adobe InDesign templates.

Follow up proposals and maintain regular client communication.

Coordinate meetings and site visits.

Keep detailed records so every client enjoys a seamless experience.

Look for ways to continually improve our systems, processes and client journey.

About You

We’re looking for someone who enjoys helping people and takes pride in getting the details right.

You are someone who naturally builds trust, communicates professionally and enjoys creating positive experiences for clients.

At the same time, you’re just as happy spending a morning carefully working through emails, updating HubSpot, reviewing client information and improving internal systems.

You’ll thrive in this role if you are:

An excellent communicator both on the phone and in writing.





Highly organised with exceptional attention to detail.

Patient and methodical when reviewing client information and long email conversations.

Comfortable managing multiple priorities without losing track of details.

Naturally curious and eager to learn.

Interested in improving systems, workflows and processes.

Excited by AI tools and technology that improve productivity.

Passionate about architecture, design and sustainability.

A good memory, excellent organisational skills and genuine care for clients will be just as valuable as previous experience.

Previous architectural experience is welcomed but not essential.
