An exciting opportunity for an experienced Program Coordinator to join a complex, enterprise-scale technology transformation program. This role will support multiple concurrent workstreams and play a key role in project coordination, governance, scheduling, stakeholder engagement, reporting, and information management. Working closely with senior project leadership, you will help maintain delivery momentum, governance discipline, and high-quality project outcomes across a major CRM platform replacement and migration initiative.

RESPONSIBILITIES

- Support project coordination, administration, scheduling, milestone tracking, and delivery activities across multiple workstreams.
- Maintain project plans, schedules, dashboards, timelines, and supporting project documentation.
- Monitor action items, deadlines, and deliverables, proactively following up with stakeholders to ensure commitments are met.
- Assist with the preparation of governance artefacts including business cases, board papers, steering committee packs, and project reports.
- Coordinate workshops, working groups, governance forums, and project meetings, including agendas, pre-reads, logistics, minutes, and action tracking.
- Support agile team rhythms and maintain project task management tools to ensure visibility of work and priorities.
- Accurately capture meeting outcomes,



decisions, actions, owners, and due dates.
- Maintain and administer collaboration platforms including SharePoint, Jira, and Confluence.
- Support document management, version control, filing structures, and configuration management practices.
- Maintain project registers including actions, risks, assumptions, issues, dependencies, and decisions.
- Track interdependencies across technical and business teams and escalated potential delivery risks where required.
- Prepare reporting packs and coordinate information gathering to meet governance and reporting deadlines.
- Support stakeholder communications and ensure alignment between project teams, business stakeholders, and vendors.
- Assist with vendor onboarding, offboarding, access management, compliance documentation, and contract administration activities.
- Perform quality reviews of project artefacts and ensure compliance with agreed standards, templates, and governance requirements.
- Maintain high standards of accuracy, confidentiality, documentation quality, and information management across all project activities.

REQUIREMENTS

- Demonstrated experience in Project Analyst, Project Coordinator, Project Officer, PMO Support, or similar project delivery support roles.




- Experience working within complex business, technology, transformation, or enterprise change environments.
- Strong project administration capability with experience managing schedules, registers, reporting packs, dashboards, and document libraries.
- Excellent meeting management skills, including agenda preparation, minute taking, action tracking, and stakeholder follow-up.
- Experience using collaboration and delivery tools such as SharePoint, Jira, and Confluence.
- Exceptional attention to detail and strong written communication skills.
- Ability to manage competing priorities and maintain quality across multiple concurrent workstreams.
- Strong stakeholder engagement and coordination skills with the confidence to proactively follow up actions and elevate blockers appropriately.
- Ability to work effectively in a rapid-paced environment while maintaining governance discipline and delivery focus.
- Experience supporting enterprise system implementations or large-scale digital transformation programs.
- Exposure to CRM, Salesforce, Oracle migration, system integration, testing, or data migration projects.
- Experience supporting vendor management, procurement processes, contract administration, or onboarding activities.
- Experience preparing governance materials including steering committee packs, board papers, and business cases.
- Familiarity with Agile, SAFe, PRINCE2, PMBOK, or hybrid delivery methodologies.
- Experience working alongside Product Owners, Business Analysts, Architects, Integration teams, Testing teams, Data teams, or Change Management functions
