Kinematics is a leading multidisciplinary allied health clinic located in the heart of Richmond. Our team of Physiotherapists, Osteopaths, Myotherapists, and Remedial Massage Therapists work together under one roof to deliver an exceptional client experience and outstanding clinical outcomes.
We're looking for an experienced, highly organised and proactive Senior Client Experience + Administration team member to play a key role in delivering an exceptional client experience while driving the efficiency and continual improvement of our clinic operations.
This is much more than a reception role. You'll help ensure our clinic runs seamlessly while identifying opportunities to improve systems, streamline processes and implement smarter ways of working, including AI. Part-time hours are available immediately, with full-time hours from October. We're happy to be flexible on the start date for the right candidate. About the Role
Reporting directly to our Operations Coordinator, you will work closely with our administration team to ensure an exceptional client experience while continually improving the way our clinic operates.
You'll be responsible for:
- Delivering an outstanding front‑of‑house experience for every client.
- Supporting, mentoring and helping develop the administration team through leading by example.
- Identifying opportunities to improve workflows, procedures and operational efficiency.
- Assisting with the implementation of AI tools, automation and new systems to streamline administrative processes.
- Maintaining high standards across reception, administration and daily clinic operations.
- Managing appointments, payments, client records and general reception duties.
- Supporting marketing, events and operational projects as required.
- Helping ensure consistency, accountability and attention to detail across all administrative processes.
- Working collaboratively to optimise the client journey and internal operations.
About You
We're looking for someone who genuinely enjoys creating structure, improving systems and making busy workplaces run exceptionally well.
You'll ideally have:
- Previous experience in a senior medical, allied health or healthcare administration role.
- Exceptional organisational skills and outstanding attention to detail.
- A natural ability to identify inefficiencies and improve processes.
- Confidence learning and implementing new technologies, including AI and automation tools.
- Excellent communication skills and a warm, professional manner.
- Strong leadership qualities with the ability to positively influence those around you.
- High levels of initiative, accountability and ownership.
- The ability to prioritise multiple competing tasks in a fast‑paced environment.
- Excellent computer skills and confidence using multiple software platforms (Cliniko experience is highly regarded).
Availability
- There are 20+ hours available immediately, with the opportunity to grow into a 32+ hour or full‑time role from October.
- Either a Monday‑Friday or Tuesday‑Saturday role.
- Flexible start date for the right candidate.

Competitive salary package based on experience.
