Trainee Project Coordinator – Certificate III in Business
Full time | Monday to Friday | Bayswater, Melbourne
Start your career in project coordination and business administration with a supportive, experienced team in Melbourne’s commercial building-maintenance industry.
This full-time traineeship is designed for someone beginning their career or looking to move into an office-based role. No previous administration or project experience is required—we’ll provide structured training, practical checklists and day-to-day mentoring while you complete a fully funded Certificate III in Business.
You’ll gain practical experience supporting projects from the initial client request through to scheduling, documentation and completion. You’ll also learn valuable administration, customer service and business systems skills that will support your long-term career development.
A day in the life at Prolux
Working alongside our experienced Project Coordinators, you will learn how to:
- Answer incoming calls and direct enquiries to the appropriate team member
- Welcome clients, contractors and visitors to the office
- Assist with scheduling, work orders and project administration
- Enter information into our business systems and check it for accuracy
- Maintain project files, records and supporting documentation
- Monitor outstanding administrative tasks and follow up when required
- Assist the Project Coordinators with the progress and completion of jobs
- Prepare basic documents, spreadsheets and client communications
- Help keep the office organised, professional and welcoming
- Assist with content for our Instagram and Facebook pages
- Engage professionally with clients, contractors and social media followers
- Learn to use industry software such as simPRO
This is an office-based position at our Bayswater location, working during business hours from Monday to Friday.
What we’re looking for
You don’t need previous experience. We’re looking for someone who brings the right attitude and is ready to learn.
You will ideally have:
- Strong attention to detail
- A friendly and professional approach to clients and colleagues
- Clear and confident communication skills
- Good general computer literacy
- Basic familiarity with Microsoft Word, Excel and Outlook
- An interest in administration, project coordination and office support
- An interest in social media, particularly Instagram and Facebook
- A willingness to ask questions, accept feedback and learn new skills
- The ability to follow established processes and checklists
- A reliable, organised and responsible approach to work
- Initiative and an interest in finding better ways to complete tasks
Most importantly, you’ll enjoy getting things done and contributing as part of a supportive team.

Traineeship eligibility
To be considered, you must be eligible to enter into the relevant traineeship and complete a Certificate III in Business.
Eligibility for the funded traineeship may depend on factors including your residency status and qualifications you have already completed. Applicants must be Australian or New Zealand citizens or Australian permanent residents.
