About Us
We are seeking a highly organized and proactive Office Administrator & General Affairs Coordinator to support the smooth day-to-day operation of our growing business. This role is responsible for office administration, general affairs management, and vendor contract administration, ensuring an efficient and professional workplace environment. The ideal candidate will be detail-oriented, able to manage multiple priorities, and possess excellent communication skills in both Japanese and English.
Responsibilities
Office Administration
Manage daily office operations and maintain an efficient working environment.
Coordinate office supplies, equipment, and facility maintenance.
Organize meetings, schedules, company events, and travel arrangements.
Handle incoming calls, emails, correspondence, and visitor reception.
Maintain office filing systems, records, and administrative documentation.
Support onboarding and administrative processes for new employees.
General Affairs
Manage relationships with building management and service providers.
Coordinate workplace health and safety requirements.
Assist in implementing company policies and administrative procedures.
Support employee welfare initiatives and office-related programs.
Handle general administrative requests from management and staff.
Vendor & Contract Management
Administer vendor contracts and service agreements.
Monitor contract terms, renewals, expiration dates, and compliance requirements.
Liaise with external vendors, suppliers, and service providers.
Obtain quotations and support procurement activities.
Maintain centralized records of contracts and vendor information.
Track vendor performance and assist with issue resolution.
Ensure invoices and contractual obligations are processed accurately and on time.
Compliance & Reporting
Maintain accurate administrative and contractual records.
Prepare reports, presentations, and business documents as required.
Support internal audits and compliance activities.
Assist management with special projects and process improvement initiatives
Your Profile
Essential
Australian Permanent Resident or Australian Citizen.
Fluent in both Japanese and English (spoken and written).
3 years of experience in office administration, general affairs, administration, or operations support.
Experience managing vendor relationships and contracts.
Robust organizational and time-management skills.
Excellent communication and stakeholder management skills.
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
High attention to detail and ability to maintain confidentiality.
Preferred
Experience in a Japanese company or bilingual business environment.
Knowledge of procurement and contract administration processes.
Experience supporting small or medium-sized businesses.
Familiarity with Workplace Health & Safety (WHS) requirements.
