Hours: Monday to Friday, 8-hour shifts (38–40 hours per week)

RW Equipment & Consulting Australasia (RWECA) is a leading supplier of Flashbutt welding machinery and specialist technical services to Tier 1 mining and rail infrastructure companies across Australia.
We are seeking a driven and detail-oriented Administrator to join our team at our Naval Base office.
Key Responsibilities:
- Provide day-to-day administrative support across the business, including assisting with Accounts Payable (AP) and Accounts Receivable (AR) functions, data entry, reconciliations, and maintaining accurate financial records.
- Prepare, review, and process customer quotations, invoices, purchase orders, and associated documentation
- Coordinate procurement activities, including creating and managing purchase orders, processing supplier invoices, and maintaining procurement workflows through SAP Ariba while liaising with suppliers and internal stakeholders
- Coordinate employee and contractor site mobilisations, including arranging flights, accommodation, medicals, inductions, training, and onboarding documentation to ensure personnel are site ready.
- Provide comprehensive administrative support to the Operations Team and Senior Management, including document preparation, reporting, scheduling, correspondence, record management, and assisting with the day-to-day coordination of business operations.
What We’re Looking For:
- Demonstrated experience in a similar Administration, Cost Control, Project Administration, or Mobilisation role, preferably within the rail, mining, engineering, or construction industries.
- Strong working knowledge and practical experience using Xero and SAP Ariba, with the ability to confidently manage financial and procurement processes.
- Proven experience coordinating workforce mobilisation for major resource clients, including BHP, Roy Hill, and other Tier 1 organisations, with a strong understanding of the Enable platform and site access requirements.
- Proficiency in Microsoft Excel and general office software
- Exceptional attention to detail, with strong organisational and administrative skills and the ability to maintain a high level of accuracy.
- Demonstrated ability to effectively manage multiple priorities, work autonomously, and consistently meet deadlines in a fast-paced environment.
- Excellent written and verbal communication skills, with a qualified, proactive, and customer-focused approach when liaising with clients, suppliers, and internal stakeholders.
- A collaborative team player who thrives in a dynamic environment and enjoys supporting field personnel, operational teams, and senior management to achieve business objectives.
