Project Manager – Events & Exhibitions
1. Position Objective
The Project Manager is responsible for the successful planning, design coordination, management, and delivery of exhibitions, events, and experiential marketing projects from concept through to completion. Working closely with clients, designers, suppliers, and internal production teams, the role ensures projects are delivered on time, within budget, and to Pico's high standards of quality, creativity, and safety.
In addition to project delivery, the Project Manager leverages strong design awareness and spatial planning capabilities to guide the development of creative solutions that align with client objectives, brand requirements, and visitor experiences. The role works collaboratively with design teams to translate concepts into practical, buildable, and commercially viable solutions, ensuring design intent is maintained throughout the project lifecycle.
The Project Manager plays a key role in managing client relationships, coordinating project stakeholders, overseeing design and production integration, and driving project outcomes that deliver exceptional customer experiences and measurable business results.
2. Main Responsibilities
- Manage end-to-end delivery of exhibitions, events, brand activations, and experiential projects.
- Coordinate project schedules, budgets, procurement, logistics, fabrication, installation, and dismantling.
- Interpret technical drawings, construction details, and production documentation to ensure accurate execution.
- Liaise with clients, designers, suppliers, venues, and contractors throughout the project lifecycle.
- Prepare project budgets, quotations, production schedules, and status reports.
- Coordinate supplier procurement and negotiate pricing while maintaining project budgets.
- Conduct site inspections and oversee onsite builds, ensuring quality, safety, and programme requirements are met.
- Monitor project risks and proactively resolve issues throughout production.
- Ensure all projects comply with workplace health and safety requirements,
venue regulations, and client standards.
- Maintain brand consistency by ensuring all project deliverables align with client brand guidelines and design intent.
- Support continuous improvement through effective project documentation and post-event evaluations.
3. Qualifications
- Bachelor's degree in Event Management, Project Management, Industrial Design, Interior Design, Marketing, Architecture, or a related discipline (or equivalent industry experience).
- Minimum 3 years' experience in the exhibitions, events, experiential marketing, interior design, industrial design, or related project delivery industry.
- Demonstrated experience managing multiple projects simultaneously within fast-paced, client-focused environments.
- Experience working with exhibition stand construction, event production, custom fabrication, retail fit-outs, interior environments, or experiential brand activations.
- Strong understanding of design development, materials, manufacturing processes, spatial planning, and the translation of creative concepts into practical, buildable solutions.
- General Proficiency in Adobe Creative Suite, particularly Adobe Photoshop, Illustrator, and InDesign, with the ability to create, review, mark up, and communicate design requirements effectively. Advanced proficiency in Microsoft 365 (PowerPoint, Excel, Word, Teams), Apple Keynote, and Google Workspace applications including Google Sheets and Slides, with the ability to develop client presentations, design reviews, project documentation, budgets, and reporting materials to a professional standard.
- Experience working with 2D and 3D design software such as SketchUp, AutoCAD, Vectorworks,
Rhino, or similar design platforms is highly desirable.
- Strong knowledge of Artificial Intelligence (AI) tools and applications for design, project management, content creation, visualisation, documentation, and workflow optimisation, with the ability to leverage emerging technologies to improve efficiency and project outcomes.
- Proficiency in Microsoft Office 365 (Excel, PowerPoint, Word, Teams) and project management software such as Microsoft Project, Monday.com, Asana, Trello, or equivalent.
- Excellent stakeholder management, communication, budgeting, organisational, and problem‑solving skills.
- Knowledge of workplace health and safety requirements, construction methodologies, and exhibition/event industry standards is advantageous.
4. Essential Skills
- Strong project management and organisational skills.
- Ability to read and interpret technical construction and build drawings.
- Strong understanding of exhibition stand construction methods and basic carpentry principles.
- Knowledge of branding, visual merchandising, and brand guideline implementation.
- Excellent communication and stakeholder management skills.
- Fluent in English and Chinese (Mandarin) to effectively communicate with international clients, suppliers, and manufacturing partners.
- Solid budgeting, procurement, and supplier management experience.
- Ability to manage multiple deadlines while maintaining attention to detail.
- Practical problem‑solving skills with a proactive, solutions‑focused approach.
- Comfortable working onsite during exhibition build‑ups, event delivery, and dismantling.
- Willingness to travel domestically and internationally when required.
5. Registrations / Licensing Requirements
Essential
- Current Australian Driver's Licence.
Desirable
- White Card (Construction Induction).
- Forklift Licence.
- Elevated Work Platform (EWP) Licence.
- Working at Heights certification.
- First Aid Certificate.
