About the Role
The Advancement Services Officer plays a key operational role in supporting the Executive Director of Advancement and the broader Advancement team. You’ll be at the centre of the College’s engagement activities—coordinating leadership meetings, donor and alumni events, and stewardship communications—while maintaining the data and systems that underpin our Advancement strategy. Your efficiency and attention to detail will enable the Executive Director to focus on high-level strategy and relationship building.
Our most recent appointee was promoted within just a few months, and we're now pleased to welcome the next talented person to join our team.
You will
- Provide high-level executive and administrative support to the Executive Director of Advancement, including diary and meeting coordination, travel arrangements, and stakeholder communications.
- Plan and deliver Advancement events such as donor meetings, alumni gatherings, and consultations, including managing logistics, guest lists, and post-event reporting.
- Coordinate donor stewardship activities, including acknowledgments, impact reports, and correspondence.
- Maintain accurate data and records within the College’s CRM system (Synergetic) and generate reports to support planning and decision-making.
- Conduct prospect research and prepare concise, actionable briefing materials for donor and stakeholder engagement.
- Identify opportunities to improve processes and workflows across the Advancement team.
About You
You are an exceptionally organised and detail-oriented skilled who enjoys managing multiple priorities and supporting a mission-driven team. You bring
Initiative, professionalism, and strong communication skills, both written and verbal
- Tertiary qualifications and/or at least 5 years’ relevant administrative or operational experience.
- Demonstrated experience providing executive or high-level administrative support.
- Outstanding organisational skills, with the ability to manage competing priorities and meet deadlines.
- Proficiency in Microsoft Office and CRM systems (preferably Synergetic).
- Experience coordinating events and managing logistics.
- Strong data literacy and attention to accuracy in record-keeping and reporting.
- A collaborative team player who also works effectively with autonomy.
