About ThreatDefence
ThreatDefence is a growing Australian cybersecurity company providing security technology, 24×7 managed security operations, and incident response services to organizations across Australia and internationally.
We are looking for a reliable and organized Accounts and Office Administrator to support our day-to-day accounts, office operations, travel, and company events.
About the Role
This is a hands-on role combining bookkeeping, accounts administration, and general office management.
We work with an external accounting firm that manages payroll, tax, BAS, and higher-level compliance. This role will take ownership of the day-to-day internal accounts workflow and general administration.
Key Responsibilities
Accounts Administration
- Process invoices and prepare payments for approval.
- Manage customer invoices and statements.
- Follow up outstanding customer accounts.
- Reconcile statements, bank accounts, and credit cards.
- Keep the accounts inbox organized and ensure requests are actioned.
- Follow up missing invoices, receipts, approvals, and payment information.
- Maintain accurate accounts payable and accounts receivable records.
- Liaise with our external bookkeeping and accounting firm.
- Provide general bookkeeping and accounts administration support.
Office Administration
- Manage the day-to-day operation of the Sydney office.
- Coordinate office supplies, equipment, maintenance, and service providers.
- Liaise with building management, couriers, cleaners, and suppliers.
- Organize domestic and international business travel.
- Coordinate attendance at conferences,
trade shows, partner events, and customer events.
- Manage event registrations, travel, accommodation, materials, and suppliers.
- Support employee onboarding, team activities, meetings, and general administration.
- Assist management with administrative tasks and process improvements.
Essential Requirements
- Previous experience in bookkeeping, accounts administration, or a similar accounting role.
- Strong practical experience using Xero.
- Strong written and spoken communication skills.
- Good knowledge of accounts payable, accounts receivable, invoicing, and reconciliations.
- Strong attention to detail and organizational skills.
- Confident communicating with customers and suppliers by phone and email.
- Able to work independently and take ownership of tasks.
- Confident using Microsoft Excel, Outlook, and other Microsoft 365 applications.
- Reliable, practical, and proactive.
Hours and Location
- Permanent part-time position.
- Approximately two days per week.
- Adaptable working days for the right person.
- Sydney-based role.
